Under the supervision of the Reservations & Event Services Coordinator, the Student Reservations Assistant performs a wide variety of general office duties relative to booking the University Student Union's (USU) meeting and conference facilities. Considerable on-the-job training provided following hire. Jobs at this level may require some discretion in judgment, analysis and decision-making.
Assist in the logistical planning and execution of small to large-scaled events
Coordinate room reservations, layouts and other event needs including preparing room set up diagrams, and requesting personnel support for events
Prepare contracts according to USU policies and procedures
Write or assist in writing a variety of general correspondence, reports, and follow up notices
Review reservation process and explains policies and procedures to customers
Develop and/or support partnerships and professional working relationships with USU staff, student volunteers, university departments, faculty and clubs and organizations
Work with established computer programs including but not limited to Word, Excel, Outlook
Perform a variety of general office tasks including typing, electronic filing, answering phones, taking messages, simple to complex typing, electronic filing, dispensing information, and the scanning and copying of documents as needed
Assist with cash reconciliation, generating cash receipts, and depositing cash and cash equivalents into deposit safe
Perform other related duties as assigned
Qualifications:
Education:
Must be a currently enrolled CSUN student
Experience
Previous related experience and/or specialized education preferred
Other Requirements:
This position is a sensitive position as designated by the CSU. Knowledge, Skills, and Abilities:
Excellent customer service skills required
Strong verbal communication skills required, including ability to share relevant information, ask questions, listen well and respond appropriately
Strong written communication skills required, including composition, grammar, spelling and punctuation
Ability to use modern office equipment including but not limited to computer, telephone, and printer with copying and scanning capabilities
Working knowledge of Microsoft Word, Excel, PowerPoint, Outlook and Publisher (desired)
Must be well-organized and detail-oriented
Ability to work under time restraints and meet deadlines
Ability to adhere to work rules, follow directions, use time effectively and work productively without close supervision
Ability to accept and respond appropriately to constructive feedback
Ability to identify problems and/or concerns relative to position of employment, and recommend viable solutions
Ability to work effectively in a multi-cultural environment
Ability to work independently and as a member of a well-functioning team
Desire to develop or enhance large and small event planning skills a plus

Supervision is provided by the Reservations & Event Services Coordinator.
Typical Working Conditions :
Work is primarily performed in a temperature-controlled office environment, as well as outdoors in varying weather conditions. Daily contact with members of the campus community, including students, faculty, staff, administrators and guests, is required. In addition to regularly assigned work schedule Monday-Friday, must possess an ability and willingness to work some weekends, academic interim, and break periods as needed; must be flexible, adaptable, and readily able to adjust to changes in work environment.
