Commercial Construction Billing Coordinator

Construction Billing / Pay Applications / Accounts Receivable

Lake Country Glass & Mirror is seeking an experienced, highly organized Commercial Construction Billing Coordinator to manage billing and payment documentation for our commercial construction projects.

We are looking for someone with experience in commercial construction billing, subcontractor billing, pay applications, or construction-related accounts receivable. Experience preparing construction pay applications is strongly preferred.

The right candidate will work closely with our project management, estimating, accounting, and general contractor contacts to ensure completed work is accurately billed, required documentation is submitted on time, and outstanding receivables are followed through to payment.

Primary Responsibilities

• Prepare and submit monthly construction pay applications
• Complete AIA-style billing, including G702/G703 forms and contractor-specific equivalents
• Create and maintain project Schedules of Values (SOVs)
• Track contract amounts, approved change orders, completed work, stored materials, retainage, prior billings, and remaining balances
• Enter billing information and supporting documentation into general contractor payment portals
• Maintain contractor-specific billing deadlines and submission requirements
• Prepare and submit conditional and unconditional lien waivers
• Coordinate with project managers to verify project progress and billable work
• Manage commercial project accounts receivable and follow up on outstanding payments
• Track and reconcile retainage through project completion and closeout
• Maintain organized records of contracts, change orders, invoices, pay applications, waivers, and payments
• Identify billing discrepancies or missing documentation before they delay payment

Preferred Qualifications

We are especially interested in candidates with experience working for a commercial subcontractor, general contractor, specialty contractor, construction accounting department, or construction-related business.

Hands-on experience with several of the following is strongly preferred:

• Construction pay applications
• AIA G702/G703 billing
• Progress billing
• Schedules of Values
• Retainage
• Change orders
• Lien waivers
• Accounts receivable and collections
• General contractor billing portals
• Construction contracts and project documentation
• Microsoft Excel and Google Workspace

The ideal candidate will be detail-oriented, highly organized, dependable, comfortable working with numbers and deadlines, and professional when communicating with project managers, contractors, and accounting departments.

Compensation: $24–$30 per hour, based on experience
