Academic Program Coordinator

Position Overview The Pennsylvania State University, Department of Nutritional Sciences is seeking a detail-oriented, organized individual to serve as the Academic Graduate Program Coordinator for both our Graduate Program in Nutrition and our online Masters of Professional Studies. The coordinator will provide direct administrative and professional support, overseeing all aspects of graduate program administration from recruitment through graduation. Responsibilities Serve as the first point of contact for all current, new, and incoming graduate students. Coordinate the graduate student recruitment process, responding to prospective student inquiries, arranging campus visits (including travel, lodging, and events), and assisting with new student orientation. Monitor and update student progress toward critical milestones, maintain student databases, schedule comprehensive exams and final thesis/dissertation defenses, and file the appropriate paperwork with the Graduate School. Update Penn State’s Graduate Student Systems using GRADS and ECRM. Process, monitor, and terminate all graduate appointments, including generating Offer Letters and Terms of Offer. Schedule graduate courses, assist students with course scheduling, and update the graduate course schedule each semester. Provide administrative support to the Graduate Program Directors by scheduling and attending meetings, composing correspondence, and creating and maintaining databases. Update the graduate student listserv and department forms. Coordinate Colloquium Speaker visits. Create and maintain databases; compile academic data and prepare reports for department leadership related to enrollment data, student progress, experience, and accreditation information. Coordinate and plan graduation and award receptions. Process visa paperwork for international students via the iStart system. Location This position offers a flexible work arrangement that requires three days on campus and two days remote during the academic year, with reduced on‑site time over the summer. Qualifications Applicants must be detail-oriented; possess excellent organizational, customer service, communication, interpersonal, and problem‑solving skills; handle multiple tasks; and work independently as well as in a team. Proficiency in Microsoft Office365 (Outlook, Word, Excel, Teams), Zoom, LionPATH, ECRM, and Workday is preferred. Minimum Education, Work Experience & Required Certifications Intermediate Support: General Equivalency Diploma (GED) or High School (HS) with 2+years of relevant experience, or an equivalent combination of education and experience. No certifications required. Senior Support: Associate Degree with 4+years of relevant experience, or an equivalent combination. No certifications required.
