This position provides clerical support within the Medical Services Section; to include medical records and scheduling client appointments via the appointment scheduling call center and in person. Position requires display of exceptional customer service, ability to communicate effectively, willingness to assist others, and the ability to function in a fast-paced work environment. Answers incoming calls to the clinic appointment line and assists walk-in clients/prospective clients. Schedules, reschedules, cancels appointments according to the established templates. Refers appropriate callers to a nurse or other medical provider based on knowledge of agency policy and programs. Enters client information into HMS. Completes no-show reports in accordance with established policy. Monitors direct messages received via the HMS Health Portal and notifies appropriate medical provider of messages received. Maintains log of all incoming and outgoing direct messages. Prepares medical records as needed for clinical appointments. Maintains, scans and attaches all medical documents and correspondence; ensuring charts, forms, and documents are organized in the Electronic Health Record (HER) according to established guidelines and filed appropriately. Ensures that all medical records are tracked and reconciled according to established schedule. Ensures confidentiality of medical records at all times. Maintains strict security of the medical records room. Receives and prepares all medical records requests. Works with local Records Management Liaison Officer (RMLO) in preparing records for litigation and subpoenas as requested by Department Legal Counsel. Ensures all legal requirements for confidentiality are met and proper release is obtained before sending or releasing records. Works with the Finance & Accounting Section on requestor invoicing for payment related to the production of medical records, as needed. Prepares monthly report to identify medical records to be prepared for disposition. Works with the RMLO in preparing and sending records for storage, disposition and/or destruction according to department policy. Responsible for the security and confidentiality of all information contained within the information set. Responsible for working with the Information Security Officer to ensure all applicable rules, regulation, and policies regarding the security of information are enforced with respect to this information set. Assists clients with intake and eligibility process. Determines client eligibility for Medicaid using FLMMIS. Updates Health Management System (HMS) Medicaid information as needed. Perform PEPW, verify medical insurances for accuracy and status. Responsible for preparing forms for client signatures. Participates in training, workshops, in services, conferences, staff meetings and other activities related to public health. Receives incoming deliveries into the Medical Services storeroom and informs the appropriate department immediately upon their receipt. Performs all other duties as assigned in support of the Agency's vision and mission.
