Summer Temporary Event Services Guest Services Representative Team Lead

Campus Services works with multiple conference groups and visiting guests each summer. Event Services provides housing accommodations within the (3) Residence Halls for short term guest stays, and MAC/Templewood Apartments for long term guest stays. This position is a Temporary position at the University of Alaska Anchorage. Minimum hourly wage: $18.18.
Prior customer service experience required. A minimum of 2 years of summer housing and office experience in a hotel front desk, or janitorial/custodial position is preferred. Applicant must demonstrate record keeping or cash handling skills and be willing to complete other miscellaneous desk attendant skills as assigned and applicant must demonstrate willingness to be part of a team and to complete other miscellaneous duties as assigned. Applicant must serve on-call responsibilities [duty rotation] responding to facility issues and guest needs on a regular basis. Applicant must have the ability to work in a busy and hectic environment. Applicant is expected to attend and some times lead regular scheduled staff meetings with interns. Perform various housekeeping and guest services desk attendant functions as needed and assigned by the Event Services Intern supervisors and Management team.
Computer experience with MS Word, Excel, Google Docs, and email is preferred. Must be able to have a flexible schedule serving on different shifts including the ability to serve in an overnight shift. Must be available for training dates demonstrating use of the conference database software used for guest reservations. Must be able to lift up to 50 pounds (with or without a reasonable accommodation). Demonstrated education and experience sufficient to perform the responsibilities of the position. Preference will be given to candidates with experience living in college residence halls, conferencing related activities, as well as any previous hospitality industry experience in the areas of guest customer service, concierge's, and housekeeping services. This role involved comprehensive customer service responsibilities in desk services, reservations, and housekeeping including maintaining clean and organized conditions by: Removing trash, sweeping and mopping floors, cleaning windows, doors and other surfaces. Cleaning kitchen and bathrooms, and common spaced, sorting and organizing items on shelves, and distributing items, towels, amenities and hospitality items we provided. Teams are responsible for preparing the residence halls and apartments for guest arrival.
To thrive in this role the candidate will have the ability to work as part of a team. Ability to work at times with minimal supervision. Ability to make independent decisions and judgements and accept management directions. Ability to work in a fast paces environment with effective communication skills both written and verbal will be necessary.
Applicant must be available to work & complete the entire job assignment employment period in order to receive discounted student housing benefit of shared, same gender apartment housing for the summer. The $3,000 value of housing cost is discounted to $650 and is for the entire summer employment period including interim periods. To qualify for this benefit, applicant must also qualify for student summer housing with UAA and follow all Residence Life policies related to summer housing and campus living. If the position is vacated early, the entire housing costs may be evoked and fees assessed to equal to the summer sessions (including interim periods) housing cost.

The Team Lead plays a vital role in delivering exceptional customer service across desk services, reservations, and housekeeping. This position involves preparing residence halls and apartments for guest arrivals, ensuring all areas are thoroughly cleaned and well-organized. Comprehensive cleaning of the suites, including, removing trash, sweeping, mopping floors, cleaning windows, doors, other surfaces, kitchen, bathrooms and common areas, sorting and organizing items on shelves, distributing linens, towels, amenities, and other hospitality items.
Our department's summer guest housing program operates from May 3-August 22 with our conference season opening Memorial day May 25 until August 1st. We operate much like a hotel environment. Guest Services Representatives may work directly with guests during an 8 hour shift while receiving guests at one of the 3 halls, preparing key packets & reservations for guest arrival, checking guests in/out, managing a conference database while demonstrating excellent customer service as you interact with and assist guests daily. We will also have guest services representative teams to prepare (3) residence halls suites and all apartments guest arrival by preparing the rooms which includes the complete cleaning of the entire suite, including kitchen, bathroom, for each guest arrival. We provide a fast paced, fun working environment as you work in a team of approximately 20 teammates. This position utilizes all aspects of customer service in the areas of desk services, reservations, housekeeping, and other duties as assigned. Guest Services room prep teams are scheduled to prepare rooms from 8 a.m. until 5 p.m. daily, or as needed. Guest Services desk shifts consist of three 8-hour blocks over 24 hours (a day shift, a swing shift, and a graveyard shift). Work hours and expectations initially could be up to 40 hours per week to accommodate deep cleaning and preparation of the residential halls and apartments. This will include a one-week training period, with the start date to be determined. Overtime will be mandatory during the first three weeks if we do not meet out cleaning schedule goals for residents' halls and apartments in preparation for opening. Overtime is available and oftentimes needed during the summer as well and at the End of the Closing Season. Typical work hours will average 40 hours per week, scheduled by Event Services supervisor and the management, the first 3 weeks, followed by the interns in conjunction with management starting at 8am. Room Prep Shift: Shifts are typically a variety of desk, housekeeping tasks, TBD Daily by Interns and Management Teams assigned to room preparation are schedule from 8 a.m. until 5 p.m. daily, or as needed. Without exception, applicants must be available to a minimum this summer. We provide a fast paced, fun working environment as you assist many conference group attendees, many of which are in Alaska for the first time. Applicants must be available for training 8am-5pm starting for the training week without exception prior to our opening on May 25th.
This position requires occasional supervision of the GSR Team with in conjunction with the Interns and Management.
Minimum Qualifications:
Education and/or Experience: Preferred a 2 year Housing Summer Experience, with a combination of education and experience which clearly demonstrates the skills and abilities necessary to accomplish the essential functions of the job.
May require a current valid driver's license, must meet UA safe driving requirements. Must undergo a criminal history background check.
Title IX certification or certification completion within 30 days of the job start date.
Behavior Based Safety (BBS) certification or certification completion within 30 days of the job start date.
Workplace Harassment Prevention certification or certification completion within 30 days of the job start date.
Protecting Payment Card Information training (annual training).
