Key Responsibilities

• Answer and direct incoming phone calls and emails.
• Assist customers with general questions and service requests.
• Prepare and send estimates, quotes, proposals, and other sales documents.
• Follow up with customers regarding pending quotes and proposals.
• Maintain customer information, sales records, and follow-up notes.
• Track sales opportunities, deadlines, and outstanding items.
• Schedule appointments and meetings for the sales team.
• Assist with data entry, document filing, and report preparation.
• Communicate with project managers, operations, accounting, and other departments.
• Request and organize documents needed for bids and proposals.
• Help ensure customers receive timely and professional service.
• Perform additional administrative duties as assigned.

Qualifications

• Previous administrative, customer service, or inside-sales experience is preferred.
• Strong phone, email, and customer-service skills.
• Excellent organization and attention to detail.
• Ability to follow up consistently and meet deadlines.
• Comfortable working with Microsoft Outlook, Word, and Excel.
• Ability to learn company software and sales processes.
• Able to handle confidential information professionally.
• Bilingual in English and Spanish is preferred.
• Experience in construction, electrical, low-voltage, fire alarm, security, or a related industry is a plus.
