Human Resources Virtual Assistant for a Physical Therapy and Rehab Clinic in the US (Home Based Part Time)

Recruitment & Hiring Support

Schedule and coordinate interviews between candidates and leadership teams. Source qualified candidates through job boards, recruitment platforms, databases, and social media. Assist with candidate communication, follow-up, and interview coordination throughout the hiring process. Coordinate and track background checks, onboarding documentation, and hiring progress. Participate in and support virtual onboarding sessions for new hires. Maintain recruitment tracking spreadsheets, applicant databases, and candidate pipelines.

Compliance & Onboarding Support

Monitor and track employee compliance requirements, including: Professional licenses and certifications, CPR certifications, OIG exclusion screenings, Required onboarding and annual training completion. Sending reminders regarding expiring credentials, incomplete documentation, and pending compliance items. Assisting with onboarding records and employee file management. Ensuring timely follow-up on compliance-related requirements.

Administrative & HR Support

Draft professional HR, onboarding, and recruitment-related emails and communications. Prepare reports, presentations, spreadsheets, and tracking documents as assigned. Coordinate meetings, manage calendars, and schedule appointments. Take meeting notes and maintain organized documentation. Communicate professionally with candidates, employees, vendors, and leadership teams. Conduct basic online research and administrative support tasks. Perform additional operational and administrative duties as assigned by leadership.

Must Haves

Open to Filipinos only based in the Philippines. Previous experience in Human Resources, recruitment, administrative support, customer service, or virtual assistant roles preferred. Excellent written and verbal communication skills. Strong organizational skills with exceptional attention to detail and follow-through. Ability to maintain confidentiality and professionalism at all times. Comfortable working independently in a fully remote environment. Strong time management, multitasking, and calendar management abilities.

Technical Skills & Requirements

Proficiency with: Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Virtual communication platforms such as Microsoft Teams, Zoom, and Google Meet. Spreadsheet management and tracking systems. Email and calendar management tools. General online administrative systems, databases, and recruitment platforms.

Home Office Requirements

Perfectly working headset and webcam. Stable internet connection of at least 25 Mbps ~ 50 Mbps. Up to date computer system with a minimum of Windows 10 or later and macOS Monterey (12.0) or later. Quiet room with no distractions or background noises. A backup plan if the power goes out or if your internet connection becomes unstable during your shift.
