Workplace Operations Manager

Role Description The Workplace Operations Manager keeps our office running smoothly and our people supported. This is a hands-on, entry-level role for an ambitious, highly organized self-starter who wants to learn and grow with the company. It spans office logistics, event and offsite planning, executive travel coordination, front-desk reception, basic bookkeeping support, and curating the employee experience. The ideal candidate is a proactive problem-solver who thrives on juggling many moving parts, anticipates needs before they arise, and takes pride in creating a well-run, welcoming workplace. By owning these day-to-day operational tasks, this person frees up the executive team to focus on higher-level priorities. Key Responsibilities Office Logistics • Manage headcount and space planning as the team grows.

• Coordinate office food, supplies, and day-to-day office activities.
• Keep common areas and shared resources stocked and organized.
• Manage internal budgets for office decor and team activities.

Offsite & Company Event Planning • Plan the quarterly Leadership Offsite and annual Employee Offsite — including food, housing, activities, and all logistics.

• Lead planning and coordination of events for members and affiliates.
• Organize other company events such as the FOGO (Friends of GetOut) Speaker Series, All Hands calls (deck management, building, setup), BBQs, holiday parties, and employee/family gatherings.
• Handle scheduling, presentation prep, employee invitations, and appreciation gifts.

Executive Travel & Conference Coordination • Book conferences and expos for leadership, including flights, hotels, booths, and appointments.

• Manage end-to-end travel arrangements and itineraries.
• Serve as office receptionist and first point of contact for visitors.
• Assist walk-in customers with account needs, knowing how to resolve or route their requests.
• Safeguard leadership's time during meetings and calls by screening and buffering interruptions.
• Handle mailing and shipping to venues and vendors as needed.
• Run errands to pick up items from the post office, suppliers, and other locations.

Employee Experience & Culture • Curate the employee experience by owning smooth onboarding and offboarding processes.

• Set up desk supplies and workspaces for new hires.
• Support routine HR administration; note that benefits administration is handled through Take Command Health, so HR duties here are light and largely automated.
• Champion company culture through day-to-day interactions and internal events.

Office Decor & Setup • Own the setup and decor of the office — mounting items on walls, purchasing decor, and creating signage for office rooms.

• Handle bill payments and routine bookkeeping tasks.
• Support budget planning and historical spend analysis for events, offsites, and office needs.

Qualifications & Skills This is an entry-level position. We are looking for an ambitious recent graduate or early-career professional eager to learn — relevant experience is a plus but not required.

• Recent graduate or early-career professional; background in business, administration, or a related field is a plus.
• Strong organizational skills with attention to detail and the ability to juggle multiple priorities.
• Comfortable with numbers and basic bookkeeping; willing to learn accounting and expense tools.
• Interest in event planning, company culture, and creating a great employee experience.
• Warm, professional communication skills and a customer-service mindset.
• Discretion and sound judgment when handling sensitive information.
• Comfortable running errands and handling light physical tasks (shipping, mounting decor, event setup).
• Self-directed, resourceful, and calm under pressure.
• Proficiency with common office and productivity tools (email, calendars, presentations, reports to: Head of Finance.)
• Compensation: ~$60,000 on-target earnings annually.
• Travel: Occasional local errands; may support travel logistics for company events and offsites.
