Job Description

Primary Purpose


Provide clerical assistance to ensure the smooth, efficient, and safe operation of the central office front desk. Answer the main switchboard, greet and direct visitors.

Qualifications

Education/Certification


High school diploma or GED equivalency


Bilingual English/Spanish (strongly preferred)


Special Knowledge/Skills


Proficient in the use of computers/communications technology


Ability to communicate with the public effectively and professionally


Exemplary customer service and organizational skills


Experience


One year of clerical experience (preferred)

Major Responsibilities and Duties

  • Greet visitors and check them in through the District security system, Hall Pass.
  • Maintain security by following procedures, monitoring visitor logbook, and issuing visitor badges.
  • Notify staff of visitor's arrival. Direct visitors to their destinations.
  • Answer phone calls in a helpful, friendly, professional manner. Direct or transfer callers appropriately and take messages when necessary.
  • Assist visitors and callers by answering questions or forwarding inquiries appropriately.
  • Be aware of Board Room and other central office meeting rooms schedules.
  • Assist staff with meeting room schedule information.
  • Obtain and have available current staff and department directories.
  • Obtain and have available current pertinent District information to assist staff, callers, and visitors.
  • Monitor the security radio communications assigned to the front desk.
  • Maintain appropriate log of all items delivered and/or picked up at the front desk.
  • Ensure staff coverage for the front desk.
  • Assume responsibility and carry out job requirements with a minimum of daily supervision.
  • Provide clerical assistance with special projects, as assigned.
  • Perform other duties as assigned.

Tools/Equipment Used: Standard office equipment including computer and peripherals; standard instructional equipment; ability to operate and learn new technology systems.


Posture: Moderate standing; occasional kneeling, squatting, bending, and stooping.


Motion: Moderate walking; repetitive hand motions.


Lifting: Regular light lifting and carrying (less than 15 pounds).


Environment: Prolonged use of computers; exposure to computer emissions.


Mental Demands: Work with frequent interruptions; maintain emotional control under stress; maintain continuous mental concentration for accuracy of correspondence and forms prior to approval; adapt to mental stress generated by short deadlines and manual workload; adjust to new programs and ideas; ability to communicate effectively (verbal and written).


Other: Work flexible hours when needed or as directed. Work as a team member and with peers, teachers, campus personnel, and principals. Professional demeanor, resourcefulness, communicate effectively with diverse groups and accept supervision. Work without day-to-day supervision. Regular and punctual attendance at the workplace.
