Position Summary

A busy neuropsychology practice in Berwyn, Pennsylvania is seeking a reliable, detail-oriented  Part-Time Neuropsychological Patient Services Coordinator to manage patient scheduling, phone calls, check-in for appointments, and use of electronic medical records.

The administrative assistant has the lead role in patient communication, patient scheduling, and serves as the liaison between patients and clinicians. The ideal candidate is organized, comfortable communicating with patients, and experienced in customer relations and use of medical record software (i.e. Simple Practice). We are looking for someone to consistently provide friendly, timely, and responsive communication to patients, and document communications so that coverage is seamless in the event of vacation, illness, or heavy volume.

 

Primary Responsibilities

· Phone Communications

· Calendar Scheduling in Simple Practice for 6 providers (approximately 22 cases per week)

· Check in patients at time of service and collect payments

· Monitoring of faxes and document distribution

· Documenting/communicating information to clinicians

 

Phone Communications

· Return patient phone calls promptly (within two business days or sooner, if possible)

· Document patient phone calls in Simple Practice with callback information and reason for call

· Call back patients who have not responded to our messages within two days

· Look at return evaluation list on a weekly basis and call patients for rescheduling

· Monitor the practice emails daily and add Psychology Today and Square Space contacts to Simple Practice prospective clients for follow-up

 

Calendar Scheduling

· Complete patient information accurately, including correct spelling of name, email address, and correct phone number of patient and/or patient contact

· Obtain insurance information, including primary insurance card information, secondary insurance card information, primary card holder information

· Ensure portal set-up is complete

o Send portal welcome and forms while on the phone and verify they received it, if possible

o Activate automatic form completion and appointment reminders to email and phone

· Balance appointments and appointment types across clinicians

· Keep an active waitlist

 

Fax Monitoring

· Check fax twice per day at srfax.com and file faxes in the designated folder(s)

· Label the fax appropriately with patient name, clinician name, or reason as warranted

 

Documenting/Communicating Information

· Communicate about cancelled appointments promptly and if it is a next day cancellation, email or text practice owners and the clinician so we can plan accordingly

· Communicate information from patient messages as necessary in Simple Practice

· Provide a chart note regarding any specific patient communications that are pertinent to the appointment, including specifics on cost estimates, insurance information, and anything else the clinician may need to know during the appointment

 

Qualifications

 

Previous experience with patient scheduling, use of electronic health records, and customer service is particularly desirable. Experience with Simple Practice is a plus.

 

The successful candidate must demonstrate excellent attention to detail, strong organizational and follow-through skills, professional communication skills, and the ability to communicate directly with patients.

 

Position Details

 

Location: Berwyn, PA

Schedule: Part-time, approximately 25 hours per week

Work Arrangement: Monday (remote), Tuesday through Friday (in office between 9:00 to 2:30).

Compensation : $21-23 per hour, depending on experience
