Job Summary

The Project Coordinator supports Summit’s sales, finance, and project management teams by coordinating resources, equipment, meetings, information, and documentation. This role helps keep projects on schedule and within budget while maintaining accurate project records, job-cost information, subcontract documentation, estimates, and change orders. The Project Coordinator works closely with Project Managers, Estimating, Procurement, Accounts Receivable, Accounts Payable, vendors, subcontractors, and field teams to keep project information accurate, timely, and moving forward.

Duties/Responsibilities:

  • Serve as a central point of contact for project team members and relevant parties.
  • Coordinate current projects and team members to help keep workflow on track.
  • Manage project-related paperwork and ensure necessary materials are current, properly filed, and stored.
  • Prepare and review project proposals, memos, meeting minutes, emails, and other project documentation.
  • Ensure the quality of project deliverables by following established processes and standards.
  • Support project management during the bidding process by creating bid invitations, preparing specification documents, addressing regulatory and compliance requirements, and tracking bid communications.
  • Provide a high standard of customer service by responding promptly to customer needs.
  • Update and maintain project schedules, timelines, and task lists to help ensure milestones are met.
  • Monitor project progress, identify potential delays or risks, and communicate them to the Project Manager.
  • Coordinate with vendors, subcontractors, and internal departments to support timely delivery of materials, documents, and information.
  • Assist in preparing reports, project updates, and documentation for leadership review.
  • Ensure contracts, change orders, and other project documentation are accurate and up to date.
  • Maintain strong communication between field teams and office staff to support seamless project execution.
  • Set up B2W estimates and create change orders with the correct tax settings based on state and scope of work.
  • Process subcontract paperwork and help ensure commercial bid requirements are communicated and followed.
  • Support efficient job-cost review to help provide timely and accurate job-cost information.
  • Perform other related duties as assigned.

Required Skills/Abilities:

  • Superior computer skills, including Microsoft Office.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Strong organizational and multitasking skills.
  • High problem-solving aptitude with the ability to think analytically and critically.
  • Strong attention to detail, including while working under pressure.
  • Effective time-management skills with the ability to meet deadlines.
  • Ability to manage multiple priorities and maintain strong follow-through.
  • Ability to collaborate effectively with field teams, vendors, subcontractors, and internal departments.
  • Budget-conscious, results-driven, organized, resourceful, and willing to go above and beyond.

Education/Experience:

  • Bachelor’s degree and a minimum of two (2) years of experience in progressively more responsible positions, preferably in Engineering or Construction.
  • Strong understanding of project coordination principles, scheduling, and workflow management.
  • Experience managing multiple tasks and priorities within tight deadlines.

Work Environment:

  • This role operates primarily in an office setting and requires prolonged periods of sitting, working at a computer, and viewing screens for most of the day.
  • Typical schedule is approximately 40–50 hours per week.
