Administrative Assistant / Tax & Billing Coordinator
We are seeking a detail-oriented Administrative Assistant / Tax & Billing Coordinator to support our tax professionals and partners with a combination of administrative, billing, and tax-related responsibilities. This role is ideal for an organized professional who enjoys working in a fast-paced public accounting environment and is looking to build a long-term career within a growing firm.
Key Responsibilities
Partner & Administrative Support
- Provide administrative support to partners and tax professionals.
- Coordinate client communications, scheduling, and follow-up activities.
- Prepare engagement letters and client correspondence.
- Maintain electronic client files and ensure proper document organization.
- Assist with various projects and administrative initiatives as needed.
Billing & Engagement Support
- Prepare and process client invoices and partner billing requests.
- Monitor work-in-process (WIP) reports and assist with billing administration.
- Follow up on outstanding invoices and support collections efforts as directed.
- Maintain accurate client and engagement information within firm systems.
- Generate billing reports and assist partners with billing analysis.
Tax & Client Service Support
- Assist with tax return assembly, processing, and electronic filing.
- Organize and track client tax documents and information requests.
- Prepare basic tax workpapers and data entry for individual, corporate, partnership, and trust returns.
- Monitor filing deadlines and assist with extension processing.
- Support tax professionals during busy season with administrative and project-based tasks.
Qualifications
- 5 years of administrative, billing, bookkeeping, or public accounting support experience.
- Prior experience within a CPA firm, professional services firm, or accounting environment preferred.
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
- Ability to manage multiple priorities and deadlines simultaneously.
- Strong written and verbal communication skills.
- Experience with tax software, document management systems, or accounting software is a plus.
This role is on-site during normal business hours 5 days per week and has additional hours required during peak tax season.
