JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 provides confidential, high-level administrative and operational support to the Dean during a temporary coverage assignment. The position serves as a primary point of contact for the Dean's Office, manages the Dean's calendar and meeting logistics, coordinates communication and correspondence, supports office operations, and facilitates effective engagement with campus and community partners. The role is structured as a part-time and on-site assignment.

Responsibilities

1. Manages and prioritizes the Dean's calendar, including scheduling meetings, resolving conflicts, confirming attendance and travel arrangements as well as preparing the Dean for key appointments.
2. Prepares, routes, and tracks correspondence, briefing materials, meeting agendas, and follow-up items on behalf of the Dean.
3. Coordinates logistics for meetings hosted by or involving the Dean, including room reservations, virtual meeting arrangements, materials, attendee communication, and hospitality as needed.
4. Maintains the efficient day-to-day operations of the Dean's Office, including office supplies, service requests, and coordination of maintenance or renovation needs.
5. Assists with planning and coordination of campuswide events, Dean's Office meetings, and administrative activities as assigned.
6. Provides scheduling and logistical support for administrative searches and committees when needed, including meeting coordination and documentation.
7. Performs other duties as assigned.

Qualifications

MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of progressive office administrative experience; OR Bachelor's Degree in lieu of experience; OR Associate's Degree and two (2) years of progressive office administrative experience.

KNOWLEDGE, SKILL, AND ABILITIES:

• Excellent written and verbal communication skills.
• Ability to plan and organize with attention to detail.
• Technology fluency and administrative systems proficiency.
• Executive presence and service orientation.
• Ability to problem-solve and use sound judgment while maintaining confidentiality.

WORK SCHEDULE: This position may occasionally be required to work evenings.
