Position Summary

We are seeking an experienced IT Project Manager to lead and coordinate an e-invoicing implementation program across multiple European Union countries and multiple ERP environments .

The Project Manager will be responsible for planning, coordinating, monitoring, and governing project activities across business, functional, and technical teams. The role does not require hands-on solution design or technical implementation , but the candidate must possess sufficient technical understanding to effectively coordinate with solution architects, developers, ERP teams, infrastructure, cybersecurity, data, integration, testing, and production support teams .

The ideal candidate will have a stronga track record of managing complex, cross-functional IT projects, with excellent organization, communication, stakeholder management, risk management, and problem-solving capabilities.

Key Responsibilities

Project Planning & Execution

• Manage end-to-end project activities for the implementation of e-invoicing solutions across multiple EU countries and ERP platforms .
• Develop and maintain detailed project plans, schedules, milestones, deliverables, dependencies, and resource requirements.
• Track project progress against committed timelines and proactively address schedule deviations.
• Monitor team capacity, competing priorities, dependencies, and resource constraints.
• Work closely with functional managers to secure appropriate resources for project activities.
• Ensure project deliverables are completed according to agreed scope, timelines, and quality expectations.

Project Governance & Documentation

• Maintain comprehensive and accurate project documentation throughout the project lifecycle.
• Develop and maintain:
• RAID logs
• Risk and issue trackers
• Decision logs
• Action trackers
• Project schedules
• Milestone trackers
• Dependency trackers
• Resource plans
• Status reports
• Steering Committee presentations and materials
• Ensure actions, decisions, and project commitments are appropriately documented and followed through to closure.
• Prepare assessments, executive summaries, presentations, and other project communications as required.

Technical Coordination

• Coordinate activities across multiple technology teams, including:
• ERP teams
• Solution architects
• Application development teams
• Integration teams
• Data teams
• Infrastructure teams
• Cybersecurity teams
• Testing/QA teams
• Production support teams
• Understand technical dependencies sufficiently to identify risks, coordinate activities, and facilitate discussions between technical and business stakeholders.
• Work closely with technical Project Managers and delivery leads to ensure alignment across interconnected workstreams.
• Facilitate resolution of cross-system, integration, infrastructure, and implementation dependencies.

Stakeholder Management & Communication

• Identify key project stakeholders and understand their expectations, priorities, and dependencies.
• Establish strong working relationships with business, IT, vendors, and project leadership teams.
• Facilitate project meetings, workshops, status reviews, and Steering Committee meetings.
• Communicate project status, risks, issues, dependencies, and key decisions clearly to stakeholders.
• Support stakeholders in making timely project decisions.
• Manage stakeholder expectations and escalate critical issues when required.
• Maintain clear and proactive communication across geographically distributed and cross-functional teams.

Risk & Issue Management

• Proactively identify project risks, issues, assumptions, and dependencies.
• Develop and monitor mitigation and contingency plans.
• Track issues through resolution and ensure appropriate ownership.
• Escalate critical risks, resource constraints, dependencies, or decisions to project leadership when required.
• Anticipate potential project challenges and take preventive action wherever possible.

Problem Solving & Decision Support

• Analyze project information, identify gaps, and evaluate potential solutions.
• Support teams in resolving project delivery challenges and removing roadblocks.
• Apply strong analytical and problem-solving skills to complex project situations.
• Facilitate fact-based decision-making by presenting available options, dependencies, risks, and impacts.
• Maintain a strong attention to detail while retaining visibility of overall project objectives.

Required Skills & Qualifications

• 8 to 10 years of proven experience managing complex IT projects .
• 5+ years of strong experience managing projects involving multiple cross-functional technology teams.
• 3 to 5 years of experience coordinating projects across multiple systems, applications, or ERP environments.
• Strong project planning, organization, execution, and governance capabilities.
• Demonstrated ability to manage project schedules, milestones, resources, dependencies, and competing priorities.
• Strong knowledge of project governance methodologies and project-management best practices.
• 3 to 5 years of hands-on experience maintaining RAID logs, decision logs, action trackers, project schedules, status reports, and Steering Committee materials .
• Excellent written and verbal communication skills.
• Strong stakeholder-management and interpersonal skills.
• Ability to communicate effectively with both technical and non-technical audiences.
• Strong analytical, problem-solving, and decision-support capabilities.
• High level of accuracy and attention to detail.
• Ability to work effectively and proactively with different personalities and teams.
• Ability to adapt to changing priorities, requirements, project conditions, and technologies.
• Demonstrated ability to guide and support team members while working collaboratively across functions.
• Strong time-management and prioritization skills.
• Ability to manage multiple parallel activities while meeting project deadlines.

Technical & Tool Proficiency

The candidate should have strong working proficiency with:

• Microsoft Excel
• Microsoft PowerPoint
• Microsoft Outlook
• Project planning and tracking tools
• Collaboration and document-management platforms

The candidate is not expected to design or implement the technical solution , but should have sufficient understanding of enterprise IT environments to effectively coordinate architects, developers, ERP teams, infrastructure, cybersecurity, data, integration, testing, and support teams.

Preferred Experience

• Experience with e-invoicing, electronic invoicing, tax-compliance, or finance-transformation projects .
• Experience managing projects involving multiple European countries .
• Exposure to country-specific e-invoicing or regulatory-compliance implementations.
• Experience working with multiple ERP environments such as SAP, Oracle, JD Edwards, Microsoft Dynamics, or similar enterprise platforms .
• Experience managing ERP integrations and interfaces with external platforms or government systems.
• Experience working in large global organizations with geographically distributed teams.
• Experience managing third-party vendors and implementation partners.
• Familiarity with Agile, Waterfall, or hybrid project-delivery methodologies.
