Customer Service Coordinator

The Customer Service Coordinator serves as the frontline contact for customers, visitors, vendors, and contractors while providing administrative support to the Property Management team. This role is responsible for delivering a professional customer experience, coordinating service requests, maintaining property systems and records, and supporting the day-to-day operations of the management office.

Responsibilities

• Serve as the primary point of contact for customers, visitors, vendors, and contractors, providing responsive and professional customer service.
• Answer and direct incoming calls, respond to inquiries, greet visitors, and assist with general reception needs.
• Receive customer service requests, dispatch them to the appropriate personnel, and maintain work orders in Yardi.
• Provide administrative support to Property Management and Engineering teams, including scheduling, correspondence, expense reports, filing, mailings, and special projects.
• Maintain customer, vendor, and property records, including Certificates of Insurance and other required documentation.
• Assist with customer communications, move-ins, welcome packages, building notifications, and customer events.
• Coordinate with vendors and contractors and assist with maintaining preventive maintenance and property management systems.
• Maintain familiarity with building emergency procedures and assist in communicating appropriate information to customers when needed.

Qualifications

• Minimum of 2 years of customer service experience ; commercial real estate or property management experience preferred.
• Excellent customer service and interpersonal skills , with a professional and responsive approach.
• Strong written and verbal communication skills .
• Highly organized and detail-oriented , with the ability to manage multiple priorities and deadlines.
• Proficiency in Microsoft Office Suite ; Yardi experience preferred.
• Strong problem-solving skills with the ability to work effectively across departments and adapt to changing priorities.
