What You’ll Do: Scheduling and Coordination: Manage and optimize complex schedules for field teams, ensuring efficient resource allocation and timely project execution while maintaining flexibility to accommodate urgent customer requests and changing priorities. Support Operations: Own back-office functions, answer phones for urgent customer needs, draft communications and prepare work orders Liaison: Serve as the communication hub between field personnel, customers, and government agencies. Data Management: Craft, process and organize reports and reporting systems for our inspection, testing and service teams. Systems Expert: Build proficiency on the Google Drive platform and in our construction software (Viewpoint/Spectrum) Collaboration: Work alongside a close-knit team to manage daily operations, including fielding incoming service calls, while continually brainstorming ways to improve process efficiency. What We’re Looking For: Education: High School Diploma or GED Experience: 3+ years of administrative-level experience Technical Skills: Proficiency with Microsoft Suite (particularly Excel) and Google Suite (particularly GSheets) Attention to Detail: A keen eye for detail and the capacity to maintain accuracy in repetitive tasks Process-driven: Affinity for developing and maintaining standardized and multi-step processes including rigorous follow-up Organized: Ability to prioritize tasks effectively, manage multiple projects simultaneously, and meet deadlines consistently Industry Experience: Experience in the construction industry or commercial fire alarm tenant improvements is a plus but not required Availability: Full-time availability (40 hours per week, 7am start time) Compliance: Drug screening and background checks will only be conducted after a conditional job offer is made.
