Administrative Assistant

The Solutions Center

Position Summary

We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support our leadership team, sales department, and training initiatives. This role combines traditional administrative responsibilities with hands-on support for a fast-paced sales environment. The ideal candidate thrives in a dynamic setting, enjoys helping others succeed, and can effectively manage multiple priorities while maintaining a positive and professional attitude.

Key Responsibilities

Administrative Support

  • Manage calendars, meetings, and scheduling for leadership and department managers.
  • Coordinate internal communications and distribute company announcements.
  • Maintain accurate records, reports, and employee documentation.
  • Assist with onboarding paperwork and administrative processes for new hires.
  • Prepare presentations, spreadsheets, and reports as needed.
  • Organize and maintain digital files and company documentation.
  • Assist with special projects and other administrative duties as assigned.

Sales Team Support

  • Provide day-to-day administrative support to the sales department.
  • Assist with tracking sales metrics, performance reports, and productivity data.
  • Monitor CRM data for accuracy and completeness.
  • Coordinate sales meetings, training sessions, and team events.
  • Help maintain sales documentation, scripts, and training materials.
  • Support managers with scheduling coaching sessions and performance reviews.
  • Assist with sales contests, recognition programs, and employee engagement initiatives.

Training & Call Floor Support

  • Support the onboarding process for new sales representatives.
  • Coordinate training schedules, attendance tracking, and training materials.
  • Assist trainers with administrative tasks and reporting requirements.
  • Serve as a point of contact for sales representatives needing operational support.
  • Help maintain a positive and productive call floor environment.
  • Conduct regular check-ins with sales representatives to identify support needs and escalate concerns when appropriate.
  • Support employee engagement efforts, morale initiatives, and team-building activities.

Qualifications

  • High school diploma required; Associate's or Bachelor's degree preferred.
  • 2+ years of administrative, office support, or sales support experience preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Ability to handle confidential information with professionalism and discretion.
  • Strong attention to detail and problem-solving skills.
  • Comfortable working in a fast-paced sales environment.
