Volunteer Coordinator

Overview The Volunteer Coordinator supports the Volunteer Supervisor by coordinating all volunteer functions within the organization, helping to strengthen food distribution programs and operations, and assisting to sustain a community of supporters. Along with helping match organizational needs with volunteers, this position will recruit, train, schedule, track, supervise, and report on volunteer activities. This position is required to have open availability during the work week, Monday through Friday, with the ability to flex hours in a given day. Some weekdays follow a different schedule based on the needs of the food pantry. Occasional availability for weekend/Saturday activities may be expected as well with the ability to leverage hours and days during the preceding week. Responsibilities Volunteer Programs: Assists in determining volunteer needs on a daily basis, coordinating with the operations department and with the other members of the volunteer team. Provides excellent customer service and maintains excellent communication. Trains and leads individual volunteers, families, and corporate, community and school groups in the warehouse on a daily basis. Assists in determining needs for special activities for all departments within the organization. Assists with scheduling volunteers and maintaining weekly schedules. Checks schedule for volunteer gaps and cancellations. Acts as liaison between volunteers and the Volunteer Supervisor as needed. Supervises volunteers and coordinates volunteer assignments to achieve effective and efficient workflow in the warehouse, in collaboration with Community Food Share’s Operations and Programs staff. Assists in evaluating volunteer performance through direct observation and/or feedback from other staff. Mentors and coaches volunteers in the performance of their duties. Addresses issues in a timely manner and communicates any necessary feedback with Volunteer Supervisor and/or Chief Operations Officer. Informs volunteers of all volunteer policies, procedures, and standards pertaining to volunteer service ideals through communications, trainings, and working interactions. Communicates and demonstrates all updates and process changes. Leads orientation, safety training, and refresh and retraining for all volunteers. Promotes Community Food Share's mission with volunteers, in conjunction with the Philanthropy Department staff. May attend volunteer fairs, conduct presentations, or participate in other outreach efforts. Explains program activities and volunteer roles/needs of Community Food Share to volunteers. Assists Volunteer Supervisor with training staff on how to work with volunteers. Delegates volunteers to different staff areas and ensures that staff are comfortable running their own volunteer projects. Confers with Volunteer Supervisor to resolve grievances and misconduct, promoting cooperation and engagement in pursuit of the common mission. Participates in organizing and executing volunteer recognition programs. Assists Volunteer Supervisor with annual volunteer recognition events. Helps maintain accurate service records and the volunteer database. Provides timely statistical and activity reports on volunteer participation for internal and external use, as required. Assists Volunteer Supervisor with providing written content for quarterly print newsletters, and monthly volunteer e-newsletters. Assists Volunteer Supervisor in managing relations with offsite programs. Attends staff and department meetings and may serve as a representative for the Volunteer Supervisor as needed. Individual Volunteer Specialist Tasks Ensures all volunteer shifts are adequately staffed by monitoring schedules and recruiting additional volunteers, if necessary. Serves as the lead contact for people with court-mandated hours; signs off on required hours, collects/scans/inputs waivers and agreements into a shared drive. Orients new volunteers and explains expectations. Handles all communications, including a weekly update, with individual, on-site volunteers. Builds and maintains strong relationships with new and returning volunteers to foster a sense of community and encourage long-term engagement. Supports the Group Volunteer Specialist when asked. Group Volunteer Specialist Tasks Handles all communications about group inquiries, and works interdepartmentally with philanthropy, procurement, and operations to accomplish group activities. Schedules all group volunteer sessions and oversees all pre-event and post-event communications including registrations, reminders, cancellations, and thank you emails. Orients, trains, and leads groups on activities and determines the most appropriate volunteer project for a group based on size, interests, and pantry needs. Completes set up and clean up for all group volunteer projects and maintains a food-safe environment in the repack room. Supports the Individual Specialist when asked. The requirements listed below are representative of the knowledge, skills, and/or abilities required to successfully perform the essential functions of this job: Education and Experience Associate degree or bachelor’s degree in nonprofit management, education, social work, business, management, or other related field of study or equivalent work experience preferred. Significant relevant experience may be considered in lieu of formal education. One to three years’ experience and/or training in nonprofit or social enterprise environment highly preferred. Experience providing a high-level of customer service. Fluency in Spanish is strongly preferred. Must possess a valid Colorado Driver’s license, or have the ability to obtain one, and maintain a good driving record and acceptable MVR. Typical Work Week Schedule A typical work week for the Volunteer Coordinator would be Monday through Wednesday and Friday, from 8 am to 4:30 pm with a 30-minute lunch. Thursday is 10:00 am to 6:30 pm with a 30-minute lunch. Weekend hours would vary depending on the needs of the event and may have time and day leveraged earlier in the week to make up for the weekend day. Compensation Hiring pay range for this position is $23.00 to $25.00 depending on experience.
