Clerical Assistant (Part-Time 30 hours)

Therapeutic School Office Assistant

Assists the Therapeutic School Office Manager in the day to day operations of the center, including answering phones, filing and assisting with the lunch program.

Duties and responsibilities include aligning practice and work with the agency mission, vision, guiding principles, the trauma-informed Sanctuary Model®, the Neurosequential Model and the Re-ED philosophy. Assists Office Manager in daily operation of day treatment center. Acts as center receptionist, as determined by center programming. Assists in monitoring and upkeep of Individual Client Records (ICR) and van usage paperwork. Monitors lunch program data collection and reporting on a daily basis to the Lunch Program Administrator. Oversees inventory and storage of breakfast items and milk/juice supplies plus organization and distribution of breakfast and lunches. Ability to handle telephone operations, including but not limited to, distributing calls, making appointments, taking messages, allowing access to building, etc. Performs general clerical duties, including but not limited to, filing, duplications, and record keeping as assigned by the Principal and/or other staff. Ability to operate office equipment, including but not limited to, computer, copy and fax machines, etc. Participates in all required trainings, including but not limited to; First Aid, CPR, Blood Borne Pathogens, Cultural Responsiveness, and Standards of Practice. Participate in staff development activities, parent conferences, team meetings, and staff meetings as scheduled or assigned. Ability to work respectfully with a culturally diverse population of clients. As a representative of the agency and profession, present self with decorum and in dress that is appropriate to the day's activities. Adhere to PEP policies and procedures.

Qualifications minimally include a high school diploma. Successful secretarial experience. Word processing, Microsoft Excel, and Outlook skills. Knowledge of office dynamics and administrative process. Ability to complete assigned tasks under stressful situations. Effective verbal and listening communications skills. Excellent interpersonal skills and the ability to work effectively with others. Effective organizational skills and attention to detail with a high level of accuracy. Ability to make appropriate decisions and use sound judgment. Displays professionalism and team-oriented attitudes.

Physical requirements include the ability to lift 0-10 pounds. Ability to use a computer and keyboard (eye-hand coordination and repetitive movements related to keyboarding). Can limit period of time doing computer work or take breaks per physician instruction. Can sit or stand per physician instructions. Take breaks as needed per physician instruction.
