Accounts Payable (Money Out)

• Invoice Processing: Review, verify, and code vendor invoices. Perform three-way matching against purchase orders and receiving documents.
• Vendor Management: Maintain accurate vendor records, respond to payment inquiries, and reconcile monthly vendor statements.
• Expense Management: Review and process employee expense reports and corporate credit card statements for accuracy and policy compliance.

Accounts Receivable (Money In)

• Billing & Invoicing: Generate and distribute accurate invoices and credit memos to customers based on sales and service data.
• Cash Application: Post daily deposits, including checks, ACH receipts, and credit card payments, directly to customer accounts.
• Collections & Aging: Monitor accounts receivable aging reports. Proactively contact customers regarding past-due balances and negotiate payment plans when necessary.
• Dispute Resolution: Investigate customer billing discrepancies, short-payments, or payment issues, and process approved adjustments.

General Accounting & Support

• Reconcile sub-ledgers to the general ledger and assist with month-end and year-end closing processes.
• Prepare routine financial reports detailing cash receipts, outstanding payables, and aging metrics.
• Maintain organized digital and physical financial records to support future audit tracks.

Qualifications & Skills

• Education: High school diploma or equivalent required. An Associate’s or Bachelor’s degree in Accounting, Finance, or Business Administration is a strong plus.
• Experience: 3 to 5+ years of hands-on experience handling both AP and AR functions.
• Technical Skills: Proficiency in Microsoft Office and hands-on experience with accounting systems (such as QuickBooks or MS Dynamics ).
• Core Competencies: Strong numerical accuracy, high attention to detail, exceptional organizational skills, and a professional communication style for vendor and customer relations.
