Surgery Scheduler

Job Description The Surgery Scheduler schedules all surgical procedures and ensures that all of the appropriate clinical and insurance coding information is collected for the surgery schedule. Scheduler receives requests to schedule procedures from physician offices and schedules the procedure according to established guidelines. Scheduler provides accurate information so that all departments may view daily and maintains open communication with hospital departments and physician offices regarding schedule changes. Essential Functions Schedules surgery procedures using OncoEMR. Answers the phones in a professional and courteous manner. Completes daily surgical schedule. Assures appropriate coordination with other hospital departments when special surgical needs occur. Publishes an accurate daily call list and forwards to staffing department. Sends orders to NMS to obtain authorization; coordinates with hospital for surgery date. Assists the surgeon; adds to surgery calendar. Calls patient with the date of surgery and schedules their post‑op appointment. Coordinates with radiology: receives orders from provider, sends to NMS for authorization, faxes orders to imaging center, and informs patient of imaging center information. Schedules, reschedules, and confirms patient appointments (consultations, follow‑up visits, etc.). Registers patients and accurately verifies demographic, insurance, and guarantor information in the electronic medical record (EMR). Obtains insurance authorizations, referrals, and communicates authorization status to patients and clinical staff. Answers and routes incoming telephone calls, responds to patient inquiries, and documents communication in the EMR system. Prepares patient charts and ensures required medical records, test results, referrals, and physician orders are available prior to appointments. Assists with patient check‑in and check‑out, appointment scheduling, collection of co‑payments, and distribution of patient education materials. Perform other duties as assigned. Key Competencies Knowledge of computer/telephone support, preferably in the healthcare industry. Strong customer service background, preferably in a healthcare setting. Excellent written and verbal communication skills. Competence with computer processing functions and other standard office equipment. Ability to collaborate, set priorities, and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations. Ability to manage and prioritize multiple tasks. Ability to resolve customer issues calmly and professionally with diplomacy and tact. Ability to work independently with minimal supervision. Strong organizational skills. Additional Requirements Requires travel between Century City and Glendale. Must be able to work onsite Monday through Friday during business hours (8:00 a.m. to 5:00 p.m.; hours may vary). Able to travel to other satellite clinics when necessary. Great customer service skills. Previous oncology/hematology experience preferred. Salary Transparency Exact compensation may vary based on skills, education, certifications, experience, and location.
