Clinical Coordinator

Job Title Clinical Coordinator Job Type Full-time Description The Clinical Coordinator acts as a liaison between their assigned physician and patients/families, staff, primary care physicians and other specialists, attorneys, vendors, etc. This role ensures physician schedules align with protocols, provides smooth/effective patient care delivery, coordinates incoming physician-related phone calls, and assists the physician in coordinating personal responsibilities to meet professional workday requirements. Responsibilities Respond to incoming phone calls and determine the best resolution method, identifying the appropriate respondent and channeling requests appropriately. Secure charts related to diagnostic tests, therapy reports, etc., discuss issues with physicians, and relay physician information back to patient or requestor. Complete chart notes as appropriate. Register and assist in scheduling appointments for new and established patients. Arrange legal depositions, ensuring patient records are available prior. Prepare charts before clinic hours; call for missing test results, dictation, or other documentation. Send prescriptions for therapies, return-to-work notes, gym notes, etc., as requested. Compose and type non-patient visit letters and correspondence for the physician. Open and distribute physician/department mail. Provide workers’ compensation carriers with updated patient status. Complete handicap parking permits, jury duty requests, school/physical education excuse notes, disability forms, etc. Prepare on-call schedules and coordinate schedule changes. Secure appropriate releases and copies of medical information for patient pick-up, work closely with copy service, and monitor reports for timely mailing of records. Maintain an orderly file of physician credentials and CME credits. Work on special projects. Secure insurance pre-certifications as requested (e.g., MRI, PT, Synvisc, injections, surgery). Handle payments received for depositions, record subpoenas by completing appropriate Revenue Cycle forms and noting receipts in the chart. Maintain a clean and safe work environment. Other duties as assigned. Requirements Education High school diploma or equivalent required. Certifications / Licensure Valid Illinois Driver's License. Experience Not applicable. Technical Skills Type ≥40 wpm with good spelling. Computer literate and knowledgeable in business software/equipment. Knowledgeable in basic medical terminology. Soft Skills Communicate (verbal and written) in English. Excellent phone and people skills. Capable of keeping up in a fast‑paced work environment. Physical Requirements Stand or sit for extended periods. Work primarily indoors; extended periods of sitting may be required. Must be able to hear telephonic communication and speak English. Position requires repetitive hand movements for computer data entry. May require occasional outdoor travel by automobile. Salary $21.00–$25.00 per hour based on skills and experience.
