The Role The Financial Services Representative serves as a vital link between our patients and the financial and insurance aspects of their fertility care. You’ll handle patient inquiries, streamline insurance verification and authorization processes, and provide financial counseling — all while enhancing the patient experience and ensuring full regulatory compliance. We’re looking for someone who is detail‑oriented, patient‑focused, and ready to make a real difference. What You’ll Do Serve as the primary point of contact for patient inquiries related to insurance coverage and the financial aspects of infertility services. Educate patients on their financial responsibilities, including insurance benefits, coverage options, and available payment plans — both in person and over the phone. Prepare and distribute patient financial packets via EngagedMD, ensuring required signatures are obtained prior to treatment start. Proactively contact patients to collect procedure‑related fees and verify financial clearance before treatment proceeds. Respond promptly and professionally to patient emails, phone calls, and IMS reminders. Perform daily data entry and maintain accurate records within the FSR tracking spreadsheet. Collaborate with Clinical, Checkout, and Front Desk teams to support accurate and timely collection of patient payments. Provide backup support for checkout processes, insurance authorizations, and related billing functions. Adhere strictly to HIPAA and confidentiality protocols, safeguarding patient information at all times. What We’re Looking For / Qualifications High School Diploma or GED required. 1+ years of experience in healthcare administration, insurance verification, authorizations, or financial counseling in a healthcare or fertility setting. Meticulous attention to detail across all tasks and documentation. Exceptional customer service abilities that foster positive patient interactions. Professional demeanor with a commitment to representing FSAC with integrity. Schedule This is a full‑time position. Standard hours follow a Monday‑Friday day shift schedule, with rotating weekends and holidays as needed. The role is based on‑site in Thousand Oaks, CA.
