School Age Child Care Program Manager

Status: Part-Time
Reports To: School Age Child Care Director

Position Summary

The School Age Child Care Program Manager is responsible for the daily operations, leadership, and success of 2–3 YMCA Before and After School program sites . Working under the direction of the School Age Child Care School Aged Director, this position provides leadership to Site Supervisors and staff while ensuring high-quality programming, regulatory compliance, and a safe, engaging environment for children and families. The Program Manager serves as a leader, mentor, and resource for staff while maintaining strong relationships with school personnel, families, and community partners. This position plays a vital role in implementing YMCA youth development initiatives and ensuring all assigned sites operate in compliance with New York State Office of Children and Family Services (OCFS) regulations.

Essential Responsibilities Leadership & Site Management

• Provide direct leadership and oversight for 2–3 licensed School Age Child Care program sites.
• Supervise and mentor Site Supervisors, providing coaching, guidance, and regular performance feedback.
• Ensure consistent implementation of YMCA policies, procedures, and program standards across all assigned locations.
• Foster a positive, inclusive, and supportive environment for children, families, and staff.
• Assist the School Age Child Care Director in achieving departmental goals and maintaining high-quality programming.

Staff Supervision & Development

• Recruit, interview, onboard, train, and evaluate Site Supervisors and program staff.
• Provide ongoing coaching and professional development opportunities.
• Conduct regular site visits to observe staff performance and program quality.
• Assist with scheduling and staffing to ensure appropriate staff-to-child ratios and program coverage.
• Promote teamwork, accountability, and professional growth among all staff.

Regulatory Compliance

• Ensure assigned program sites remain fully compliant with all New York State OCFS regulations and YMCA policies.
• Work collaboratively with the School Age Child Care Director to maintain accurate staff records, including SCR clearances, background checks, medical documentation, and required paperwork.
• Monitor staff training requirements and ensure certifications and clearances remain current.
• Assist with preparing sites for OCFS inspections and licensing visits.
• Maintain accurate program documentation and incident reporting.

Program Quality & Curriculum

• Oversee the implementation of engaging, developmentally appropriate programming aligned with YMCA values.
• Support the delivery of STEAM, STEM, social-emotional learning, physical activity, homework assistance, and enrichment activities.
• Encourage creativity, leadership, and youth engagement through high-quality programming.
• Evaluate program effectiveness and implement improvements as needed.

Family & Community Engagement

• Build and maintain positive relationships with children, families, school administrators, and district personnel.
• Serve as the primary YMCA contact for assigned school sites.
• Collaborate with community organizations and enrichment partners to enhance programming.
• Address parent questions and concerns professionally and promptly.

Administrative Responsibilities

• Assist with enrollment, attendance records, licensing documentation, and program reporting.
• Support budgeting and inventory management for assigned sites.
• Ensure supplies and materials are available to support daily programming.
• Participate in departmental planning meetings and organizational initiatives.

Professional Development

• Complete a minimum of 15 hours annually of professional development specific to School Age Child Care programming , in addition to all required YMCA and OCFS trainings.
• Participate in leadership development opportunities and stay current on best practices in youth development and school-age programming.

Requirements:

 

Qualifications

• Associate’s or Bachelor’s degree in Education, Child Development, Recreation, Human Services, or a related field preferred.
• Experience working in licensed School Age Child Care or youth development programs.
• Previous supervisory or leadership experience preferred.
• Knowledge of New York State OCFS regulations and licensing requirements.
• Strong organizational, communication, and leadership skills.
• Ability to effectively supervise multiple sites and manage competing priorities.
• Current CPR, First Aid, and other required certifications, or ability to obtain upon hire.

Physical Requirements

• Ability to actively participate in indoor and outdoor children’s activities.
• Ability to lift up to 30 pounds.
• Ability to stand, walk, bend, and move throughout program sites for extended periods.
• Reliable transportation and the ability to travel between multiple YMCA program locations.
