Job Summary :Under general supervision of the Housing Director, this position serves as the Housing Assistant performing general clerical duties as support for the Housing Department of the Tribe and assists with distribution of information to Robinson Rancheria tribal members. The Housing Assistant is responsible for maintaining the confidentiality and accuracy of the Housing Department, records, and data.
Duties and Responsibilities :
- Types correspondence, forms, minutes, reports and other materials from drafts received from the Housing Director, in accordance with standard office operating procedures.
- Serves as mail clerk for the Housing Department, receiving all incoming mail, recording in control registers, copying and distributing to appropriate recipient(s). Coordinates the outgoing mail to insure it is delivered to a mail receptacle so it can be processed in a timely manner.
- Helps to maintain the Tribal Housing database records and filing systems.
- Maintains files of correspondence, forms, reports and other materials, and retrieves them for review upon request.
- Answers telephones, receives visitors and provides information as required, or refers to appropriate person/office. Answers questions from Robinson Rancheria community about Housing related matters.
- Maintains records of inquiries and message referrals in accordance with office operating procedures.
- Assists with the development of information to be disseminated to the Robinson Rancheria community.
- Process excel spreadsheet for financial record keeping purposes.
- As necessary, attendance at Robinson Rancheria community meetings in a community relations capacity, promoting goodwill through interaction with the community.
- Knowledge of, or ability to learn: Tribal, Housing and Urban Development (HUD), and NAHASDA policies
- Assist members with application process and explanation for housing assistance programs.
Desirable Qualifications:
- Excellent organizational, customer service, public relations, and communication skills.
- Meticulous and detail oriented.
- Knowledge of Native American Tribal Government policies and values, ability to apply this knowledge to all communication with tribal members, staff members, and the public.
- Understanding of Fair Housing regulations and compliance requirements.
- Experience with crisis intervention strategies to assist clients in urgent situations.
- Awareness of legal aspects related to housing assistance programs.
Minimum Qualifications:
- Knowledge of Microsoft Office (Word, Excel, PowerPoint)
- One to two years of overall experience that includes typing and data entry, record keeping and filing, answering telephones, managing correspondence, taking and transcribing notes and minutes.
- Ability to type at a rate of 45 WPM and have experience in using a personal computer.
- Ability to communicate and model respect for all Tribal Members, Tribal Officials, supervisors and co-workers.
- Ability to understand adherence to various program requirements, including confidentiality of information, and complex federal regulations.
EDUCATION/EXPERIENCE:
High school diploma or GED and 1-2 years clerical experience
LANGUAGE SKILLS:
Must have the ability to read, write, and comprehend simple instructions, correspondence, and memos. Ability to effectively present information in one-on-one and small group situations to Tribal Members, vendors and other employees of the organization.
CONDITIONS OF EMPLOYMENT:

- Must have a valid California Driver's License and be insurable through the tribe's insurance policy.
- Employee will serve 90-day probationary period.
