Education and Work Experience:
- Education: High school diploma or GED.
- Work/Professional Experience: A minimum of 3 years office or administrative support.
- Understanding of risk management and insurance claims process preferred.
- Understanding of current DOT records and testing requirements preferred.
- Bilingual English/Spanish preferred.
- Requires strong ability with Microsoft Office (including MS Word, Excel, Outlook, and PowerPoint).
- Working knowledge of integrated database applications and ability to use new software programs, including proprietary Salvation Army programs, with basic training.
- Must successfully complete Decision Driving Safety Test after driving for The Salvation Army and annually recertify as required.
- Valid driver’s license.
Scope of Position :
To perform a wide variety of responsible and complex administrative duties for the department and department director; to coordinate functions in support of the department’s goals and objectives; to provide information and assistance to The Salvation Army’s corps, centers, vendors, and risk management personnel.

Essential Functions:
Insurance Claims Coordination
- Responsible for claims management for all Division locations.
- Act as the primary liaison for property, general liability, and auto insurance claims, with THQ, Sedgwick, and the field.
- Review and track property, general liability, and auto loss claims, working with local units, and following The Salvation Army and Sedgwick processes.
- Follow-through with various internal offices such as THQ Risk Management as well as external partners such as appraisers, contractors, and insurance adjusters.
- Process contracts for insurance repairs, following The Salvation Army approval policies and procedures.
- Respond to inquiries from field, contractors, insurance adjusters, and others regarding status of a claim, or payment or reimbursement status.
- Reconcile claims for completion of all work, invoices, and reimbursements.
- Work with THQ Risk management on all reported claims related to general liability.
- Provide continued training and support to the field concerning claims reporting practices.
Fleet Management
- Complete vehicle addition and deletion items in both TSAMM and Property Web.
- Maintain vehicle records.
- Maintain the vehicle database and send it to THQ annually.
- Maintain the vehicle title file.
- Work with THQ to renew the Oregon State Dealer’s License every 3 years.
- Assist with vehicle replacement when declared a loss and process all paperwork when needed.
- Process all paperwork for donated vehicles.
Vehicle Coordination
- Receive and track all items (paperwork, SmartDrive, DOT stickers, etc.) for DOT vehicles.
- Maintain active and archived files and records in accord with the Records Retention Schedule.
- Track floater vehicles, requests for use, and check out/check in vehicles.
- Track maintenance or repairs required for DHQ floater vehicles.
- Process all DMV paperwork for renewals and/or switching vehicle plates.
- Coordinate with Enterprise for vehicle purchase, sale, and logistics.
- Act as the TSA point person between Enterprise and TSA.
- Maintain all efleet cards in the division, adding/ and deleting vehicles as needed.
- Maintain the website for CS Division with Enterprise, keeping vehicle information and location addresses up to date, with location addresses and users.
- Maintain the master fleet spreadsheet with vehicle information.
Working Conditions:
May require long periods of sitting at a desk using a personal computer and telephone. Able to walk, sit, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis. Must occasionally lift and move up to 25, usually file boxes.
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, hand, or feel objects, tools, or controls; to talk or hear; reach with hands and arms. Specific vision abilities required by this job include close vision and distance vision.
Works on many projects at once with interruptions and noise from ringing telephones, printers, copiers, and walk-in traffic, multiple deadlines, and competing priorities. Frequent phone and in-person contact with people from diverse backgrounds who may be angry, hostile, confused, or frustrated.
Organizes projects, sets priorities, calculates, catalogues, inspects, analyzes, plans, comprehends, and cooperates with others, etc.
Work with minimum supervision and work involves a high degree of independence. May be required to make independent decisions that may involve unique or unusual situations and/or complex issues and dealing with demanding requests and/or timelines.
May travel overnight or out-of-state.
Regular and punctual attendance are essential functions of this position.
