Entry Human Resources Operations Specialist

CDM Smith is hiring an Entry Human Resources Operations Specialist to join our Corporate Human Resources team. This role coordinates, researches, prepares and/or schedules HR activities, provides support to applicants and employees, and works from our Boston office at least two days a week. Prepares communications using approved formats for interviews, offer letters, sign‑on and relocation agreements, onboarding materials, background check forms, and immigration letters, etc.; distributes communications, collects employee forms and documentation, and follows up to obtain missing documentation as necessary. Schedules interviews, books candidate travel arrangements, briefs applicants and employees on benefits and HR policies and programs, manages reimbursement of candidate expenses, and refers inquiries outside of normal scope to senior HR staff. Processes transactions in third‑party applications and reviews and manages I‑9 forms for collection and retention purposes. Processes invoices, check requests, and employee expense reimbursements. Transmits information to vendors following prescribed procedures, including data for relocation, background check, job postings, and other relevant services. Participates in HR project teams to improve processes, reduce manual work, and increase efficiencies; administers and coordinates additional programs such as e‑Verify, e‑Rail Safe, and other programs as necessary. Maintains process documentation and files. Performs other duties as required. Qualifications Bachelor’s degree (or equivalent additional directly related experience considered in lieu of a degree). 0 years of related experience required. Domestic and/or international travel may be required. Skills and Abilities Proficiency in Microsoft Office desirable. Ability to work as a team player required. Excellent communication and organizational skills; ability to work with all types of people highly desirable. Ability to work with detail, manage multiple priorities, and meet deadlines. Basic knowledge of human resources practices, policies, regulations, and programs. Background Check and Drug Testing Information CDM Smith Inc. and its divisions and subsidiaries reserve the right to require background checks, including criminal, employment, education, licensure, credit, and motor vehicle checks, as well as drug testing for designated positions. Background checks are conducted after an offer of employment has been made in the United States. For positions outside the United States, timing will vary based on country statutory law but in no case will the background check precede an interview. Employment will be contingent upon successful completion of a background investigation, including criminal history. Criminal history will not automatically disqualify a candidate. During employment, individuals may be required to successfully complete additional background checks, including motor vehicle records and drug testing.
