Member Programs Associate

Hybrid Position, 2 days in office required Supports the planning, execution, and evaluation of meetings, conferences, educational programs, and special events for the Association. This role ensures high-quality, revenue-generating, and mission-aligned programs that deliver value to members, sponsors, exhibitors, and industry stakeholders. The ideal candidate is a detail-oriented project manager with strong vendor negotiation skills, budget oversight experience, and the ability to collaborate across departments to create engaging and seamless member experiences. Duties and Responsibilities Meeting & Event Coordination Support planning and execution of assigned meetings, such as the resident summit, midyear meeting, APP Academy and specialized meetings. Coordinate logistics including venue communication, audiovisual needs, catering, transportation, and materials production. Maintain event timelines, task lists, and run-of-show documents. Provide on-site support at events, including registration management and attendee assistance. Manage recording, archiving, and post-event distribution of content. Speaker & Volunteer Support Assist with speaker outreach, confirmations, travel arrangements, and presentation collection. Support volunteer committees with scheduling, meeting logistics, and materials preparation. Ensure timely communication with presenters and participants. Provide technical support to presenters, moderators, and attendees before events. Budget & Administrative Support Assist in tracking event expenses and revenues. Process invoices and reconcile expenses according to organizational procedures. Prepare post-event reports, surveys, and summary materials. Cross-Department Collaboration Work with communications staff to support event marketing efforts. Coordinate with membership and finance teams to ensure accurate reporting and customer service. Provide general administrative support for the Programs & Events team. 2–4 years of experience in meeting planning, event coordination, or association programs. Strong organizational and time management skills. Excellent written and verbal communication skills. Proficiency in Microsoft Office and familiarity with event management software (CVENT) or AMS platforms. Ability to travel and work occasional evenings or weekends during events. Experience working in a trade association, nonprofit, or professional society preferred.
