SUMMARY

Assists the Office Manager and Corporate Controller by performing the following duties:

ESSENTIAL DUTIES

(Including the following. Other duties may be assigned.)

• Daily dlrdmv tag posting {and DLR50 when Lead Title Clerk is out}
• Cut tag fee\ deal overage check to customer
• First bay tag agency posting when we use them
• Monthly Docu pro posting
• Make sure tag accounts balance after posting Dlrdmv tag fee charges
• Receive all trade in deal jackets determine where they go based on if vehicle has lien or not, title on trade in needs to be reassigned, title needs to be applied for or duplicated, file in drawer for elt lien check folder, lease vehicle title waiting folder etc.
• Reassign titles received on trade in
• Check all titles with an electronic lien to see if they have been released
• Apply for titles when electronic lien has been released/ apply for trade in received without electronic lean / apply for duplicate titles (send to tag office)
• Receive titles back from tag office, post fees to correct cost of sale accounts
• Reassign titles, stamp titles correctly
• File titles in corresponding deal jackets, date stamp received, initial, file deal jackets in fireproof safe
• Receive mailed in titles from Honda or Subaru lease trust, or other states, look up vin number, pull corresponding deal jacket, verify mileage, customer, and store name, reassign title to correct store file in fireproof safe
• If title is in floorplan able age and mileage, make one sided copy of front and back give to Cindy to floor plan {apply for floor plan able cars when Cindy is out\ post floor planed cars for her as well}
• Put any titles received that are sold to Tallahassee Manheim auto auction in plastic envelope, send to them every Tuesday and Thursday
• Receive paperwork from Jeff from TMAA, make copies needed for filing, pull deal jackets, separate titles, copy titles, attach title to sold sheet from TMAA, send to them every Tuesday and Thursday
• Receive checks back from TMAA
• Receive all dealer trade packets from sales managers, make copies of pack needed for separating, separate paperwork into four piles one for posting, one for mailing, one for sold jacket, one for incoming jacket. Fill out blank deal jacket for incoming vehicles and put paperwork in it, reassign out going MSO
• Post dealer trade, cut check, once check was signed use ups to mail it to dealer
• Receive check back from other dealer receipt check and file incoming in the in inventory in fireproof filing cabinets, file sold jacket into sold drawers alphabetically, pot posted packet into dealer trade hanging folder keep for current month and the following month in case there is an issue then shredded. Reassign incoming MSO.
• If incoming dealer trade hasn’t been sold, make copies of front and back of MSO and its original vehicle invoice give to Cindy to floor plan {do for Cindy if she’s out}
• Receive MSOs in the mail for Honda and Acura, date stamp MSO in corner for reference, use last 6 of vin to look up and see if its stocked into the system, if it is write stock number on MSO, then go into DMS and enter the weight in under the stock number you looked up, go to fireproof filing cabinet and put it in corresponding deal jacket, date stamp and initial deal jacket
• Receive all new and used car deals, one by one use DLRDMV to print off all paperwork needed for deal packet, ensure customer driver’s license is in date prep for DSN.
• In DSN create a manifest attach paperwork to deal then mail out for processing
• Keep any deals with title or MSO issues then send them out once fixed, do my best to not allow deals to go over 30 days old
• File all posted documents in monthly file folders
• Make sure all accounts I post to balance
• Help Cindy with anything she needs/ as well as anyone else in the office
• Communicate with callers in a professional, friendly, and efficient manner.
• Maintains a professional appearance and keeps work area neat and clean.
• Be considerate and respectful to other employees.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulation. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS

Ability to accurately calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

COMPUTER SKILLS

Advance computer skills, including but not limited to Microsoft Word, and Microsoft Excel.
