Temporary Veteran Services Office Assistant

Position Summary The Veterans Service Assistant is a temporary, full-time position to assist the Veterans Service Officer (VSO) with administrative tasks, as well as assist in driving veterans to their medical appointments. This position is full-time, with some flexibility regarding schedule; position reports to the Courthouse 8AM to 4:30 PM, M-F, 40 hours a week. Level and salary commensurate with experience.

Essential Job Functions

• Gathers information, inputs data into computerized records-management system, updates & maintains department records, files, & databases & prepares a variety of departmental reports
• Scans veterans' paper files to the digital Veterans Service (V:) drive, saves files in veterans' named folders accordingly, creating folders as needed, and uploads files into online VetraSpec database
• Answers incoming calls & transfers as necessary; provides general information regarding veteran-related programs; may respond to public inquiries and/or complaints
• Transportation of veterans to their appointments
• Maintains confidentiality of non-public records and makes available all data and information deemed a public record by the North Dakota Century Code
• Performs general office duties including greeting clients, processing mail, and utilizing office equipment; orders and maintains departmental office supplies, coordinates equipment maintenance, and informs the VSO on costs for management of the budget
• All other duties as assigned for business need

Minimum Qualifications

• High School Diploma or GED equivalent
• 2 years administrative support experience preferred
• Strong organizational skills & ability to multitask
• Self-starter & goal-oriented
• Must possess a valid Driver's License
• Physical requirements and working conditions:
• Must possess the ability to work in a standard office setting and to use standard office equipment, including a computer, copier, files, telephone and fax; maintain attention to detail despite interruptions, read printed materials and documents on computer screen, and possess good listening and speaking skills to communicate in person and over the phone.
