Customer Service Representative

Identify key contacts within customer facilities and maintain high-profile customer contact to guarantee quality customer service Interface with Materials, Engineering, and Service teams to ensure accurate information transfer Receive and process customer requests for parts Act as a liaison between customers and the business, providing personalized attention Determine and assist customer needs in a timely manner Provide accurate part pricing quotations and order confirmations Make upsell suggestions based on historical purchasing data and current purchases Follow up proactively with customers on open estimates Work with customer procurement systems such as Ariba Maintain the integrity of the Syteline database by correcting and communicating inaccuracies Support marketing programs and promotions that drive parts sales Gather market intelligence Create and maintain an installed machine library based on customer feedback Liaise with Accounts Receivable to help resolve past-due invoices Conduct proper customer complaint follow-up Interface with outside vendors to identify, purchase, and supply parts Maintain and create price records, including pricing new items Enter parts orders, coordinate expedited shipping, and confirm payment terms Manage multiple priorities, review customer orders, and provide order status and part-number information Coordinate special or crucial orders for correct expedited shipment Process repairs, returns, and credit memos Recommend improvements to processes and procedures Suggest safety stock levels based on order volume and activity Help price start-up spare-part kits for new customers Assist with departmental operations, special projects, and other assigned duties Partner with other ProMach companies to capitalize on synergistic opportunities Requirements High school diploma or equivalent Excellent verbal and written communication and customer service skills Knowledge of packaging equipment helpful Experience in a manufacturing environment preferred Experience and proficiency with an ERP system, Windows, Word, and Excel helpful Infor/Syteline experience a plus Experience with Salesforce or other CRM software preferred Good interpersonal skills to interact positively with internal teams and customers Great team player ProMach uses E-Verify to verify employment eligibility of new hires to work in the United States Must work in an onsite role in Middleton or Monroe, Wisconsin Core Competencies Demonstrates strong customer service capabilities by effectively managing customer inquiries, processing orders, and maintaining accurate pricing records.
