Program Associate

Addison Group is seeking a Program Associate on behalf of our client's Child Care and Income Security team. This position will provide administrative and operational support to help ensure smooth team processes, coordinate activities, manage documentation, and support cross-functional collaboration.

The ideal candidate is highly organized, proactive, and comfortable managing multiple priorities while working with various internal teams. This role requires strong communication skills, attention to detail, and the ability to identify opportunities for process improvement.

Key responsibilities include:

• Providing administrative and operational support to department initiatives and daily activities.
• Coordinating meetings, including scheduling, calendar management, and virtual meeting setup.
• Assisting with contract processing, documentation tracking, and internal workflows.
• Supporting invoicing, budget coordination, and collaboration with finance teams.
• Maintaining organized records and assisting with departmental planning efforts.
• Taking meeting notes and helping track follow-ups and action items.
• Working across multiple teams to help prioritize tasks and ensure deadlines are met.
• Supporting planning and coordination for upcoming department events.
• Utilizing tools such as Microsoft Office, Zoom, Slack, Asana, and other internal systems.

Qualifications include:

• Bachelor's degree required.
• 2+ years of administrative support experience preferred; strong internship experience will be considered.
• Experience supporting scheduling, invoicing, events, or operational processes.
• Proficiency with Microsoft Office Suite, Zoom, and collaboration tools such as Slack and Asana.
• Experience with contract management systems (such as Ironclad) and budget platforms (such as Vena) is a plus.
• Strong organizational skills with the ability to manage multiple priorities.
• Self-motivated, resourceful, and able to proactively identify solutions.
• Excellent interpersonal skills and the ability to work effectively with different teams.

Additional details include:

• The team is seeking temporary support to assist with a transition period while recruiting for a permanent replacement. The selected candidate may have the opportunity to apply for the permanent position and participate in the organization's standard hiring process.
• There may be opportunities to increase weekly hours based on business needs, including support for upcoming events. The role will begin at approximately 20 hours per week.
