Job Title: Medical Office Assistant

Job Description

The Medical Office Assistant supports a busy dermatology practice by providing front and back office support, including answering phones, scheduling appointments, obtaining prior authorizations, and rooming patients. This role focuses on delivering excellent customer service while accurately managing patient information and supporting clinical and administrative workflows.

Responsibilities

• Answer incoming phone calls promptly and professionally, and direct calls or messages to the appropriate staff.
• Schedule, reschedule, and confirm patient appointments, ensuring accurate entry of details into the practice management system.
• Coordinate and process prior authorizations for procedures, medications, and services, following established guidelines.
• Room patients efficiently by verifying patient identity, updating basic information, and preparing exam rooms as needed.
• Accurately enter and update patient information, including demographics, insurance details, and clinical notes, in the electronic medical record (EMR).
• Provide courteous and helpful customer service to patients in person and over the phone, addressing questions and concerns within scope.
• Perform general clerical duties such as filing, scanning, copying, and handling mail to support daily office operations.
• Verify insurance information and assist with insurance-related inquiries to help ensure smooth billing and coverage processes.
• Collaborate with clinical and administrative staff to maintain an organized, efficient, and patient-centered dermatology office.
• Follow office policies and procedures, maintain patient confidentiality, and adhere to all relevant privacy and security regulations.

Essential Skills

• Previous medical office experience, preferably in a clinical or outpatient setting.
• Strong customer service skills with the ability to communicate clearly and professionally with patients and staff.
• Accurate data entry skills and attention to detail when handling patient and insurance information.
• Ability to manage patient information in an electronic medical record (EMR) system; EPIC experience is a plus.
• Comfort working in a busy dermatology office environment with competing priorities.
• Basic clerical skills, including filing, scanning, and handling documents.
• Understanding of insurance processes sufficient to assist with coverage verification and related tasks.
• Ability to multitask, stay organized, and maintain accuracy in a fast-paced setting.
• Reliable, flexible, and willing to adapt to changing schedules and office needs.

Additional Skills & Qualifications

• Experience working in dermatology or a specialty medical practice is preferred.
• Prior experience using EMR systems; EPIC familiarity is considered an advantage.
• Strong interpersonal skills and a positive, professional demeanor suited to an entry-level, patient-facing role.
• Ability to learn new systems and office procedures quickly and apply them consistently.
• Demonstrated commitment to patient confidentiality and professional ethics.

Work Environment

This role is based in a dermatology office that operates in a busy, patient-focused environment. The schedule requires flexibility, with working hours typically falling between 7:45 a.m. and 5:00 p.m., and the position is structured as temp-to-hire. The office uses electronic medical records, and EPIC may be part of the technology stack. Staff work closely with clinical providers and administrative team members to support a steady flow of patients throughout the day. Attire is professional and appropriate for a clinical office setting, with an emphasis on maintaining a neat, clean, and respectful appearance.

Job Type & Location

This is a Contract to Hire position based out of Madison, CT.

Pay and Benefits

The pay range for this position is $18.00 - $23.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
