Medical Intake Specialist

Medical Intake Specialist (Full Time) Department:: Medical Intake Medical Intake Specialist Job Description Reports To: Integrated Health Manager Job Purpose: The Medical Intake Specialist is responsible for greeting, assisting, and answering questions and inquiries for all guests in person or over the telephone. This position is also responsible for utilizing HCC Provider and treatment room time effectively by scheduling appointments in person or over telephone. This position ensures an elevated level of customer service and requires the employee to always be professional and courteous. Essential Functions Patient Documentation: Copies patient insurance cards and any other documents that need to be added to patient charts. Form Creation: Creates forms as needed. Financial Support: Serves as a backup to the payment center and explains Contract for Care program information to any who cannot afford to pay for healthcare. Records Management: Scans necessary paperwork into patients’ Electronic Medical Record (MR). Policy Compliance: Follows procedures, steps, and policies as mandated in HealthCore’s manuals. Facility Maintenance: Keeps the front desk area clean and presentable and restocks any supplies as needed. Other Duties: Other duties as assigned. Experience: Minimum of one (1) year clerical experience in a medical office setting preferred. Technical Skills: Ability to type at minimum forty words per minute (WPM). Language Skills: Bi‑lingual in English and Spanish preferred. Medical Knowledge: Ability to understand medical, dental and behavioral terminology. Communication: Ability to communicate effectively with vulnerable populations including those made vulnerable by their financial status, personality characteristics, place of residence, health status and/or age. Demeanor: Have a positive, friendly and professional demeanor with excellent interpersonal skills. Data Management: Assist with gathering data and inputting data into databases. Computer Literacy: Strong computer literacy, especially with Microsoft Office Suite. Office Skills: Strong office skills including accurate typing, data entry and filing. Equipment Operation: Able to operate office machinery, i.e., copiers, fax machines, multi‑line telephone. Detail Orientation: Attention to detail and ability to compose and generate documents and reports. Time Management: Able to complete and submit required documentation on time. Regulatory Compliance: Understand and operate within policy, rules, regulations and accreditation standards. Customer Service: Ability to work productively with internal and external customers. Collaboration: Adept at collaborating well with team members. Work Ethic: Demonstrated positive work ethic. Reporting: Keep supervisor informed about progress and problems. Communication Skills: Excellent written and verbal communication skills. Organization: Excellent organizational skills, attention to detail and time management skills. Adaptability: Ability to multi‑task and organize work effectively while working independently and/or as a cooperative team member.
