Organizationally strong, the organization rigorously adheres to its guiding principles, ethics, and a culture of excellence.Position SummaryThe Receptionist receives incoming callers both within and outside of the agency and directs calls to the correct recipient. The Receptionist is located at the Welcome Center and as a result, they operate as an "Information Center" to anyone who comes to our Havre de Grace campus. The Receptionist acts as a resource guide for patients and provides excellent customer service and care, while continuing to perform administrative tasks. The Receptionist is also responsible for making overhead announcements related to the patient scheduled and other important information that needs to be disseminated.Key ResponsibilitiesReceives and routes calls incoming calls to the appropriate staff.Demonstrates competency in adhering to HIPAA regulations while operating the phone systemCollaborates with the Clinical Management Team to ensure Group Counseling documents are accurateMaintains and distributes patient schedule and Group Counseling documents to direct patient care staffCollaborates with direct patient care staff to ensure patients are located for scheduled appointmentsGreets visitors/guests and families in a friendly, professional manner; contacts person(s) receiving visitors.Effectively utilize paging system for community announcements including patient schedule, weather reporting, color coded emergencies, and other needs as assignedCollaborates with the Finance department to ensure that staff and patient mail/packages is routed to the correct locationsCollaborates frequently with CA staff to meet patient and program needsAssists the Weekend Program Manager with distribution of weekend documents and other needs as assignedResponds to patients' and visitors' questions and provide appropriate answers or directions in accordance with Ashley Policies and ProceduresFollows appropriate emergency procedures during fire/disaster drillsIn addition to role responsibilities, each staff member of Ashley, Inc. has the following responsibilities as a part of their employment:Models and reinforces Ashley's mission and core valuesPerforms other duties on an as-needed basisReinforces Ashley's commitment to diversity, equity and inclusionProtects the privacy of our patient's protected health information by maintaining compliance with HIPAA and other relevant Ashley related IT security regulationsDesired Knowledge/Skills/Abilities:Minimum of High School Diploma or G.E.D.Experience using a multi-line phone system and type with high level of accuracy preferredAdministrative experience in a Healthcare environment is preferred.Knowledge of and adherence to HIPAA and privacy regulations for health care environmentsMust have the ability to rapidly and comfortably disseminate information to patients and visitorsMust be intermediate or advanced level in Microsoft Office (Word, PowerPoint, Outlook, and Excel).Must have excellent written, verbal, grammatical skills, and mathematical skills.Ashley is committed to maintaining a work environment in which all of its employees are treated fairly with respect and dignity.
