Coordinator Billing

What you’ll do - Responsible for all A/R activities including collecting work dailies from numerous sites and reviewing against funding requests, calculating billable items, generating and processing 70 to 100 invoices weekly -- full cycle, along with supporting documentation on a weekly basis or as requested.

• Work as part of a team assigned to support Project Managers.
• Support project managers in project start-up, job and work order set-up, managing appropriate

project financial performance, and with tracking job progress and ensure timely billings and closeout. -Process and distribute invoicing, prepare and analyze accounts receivable reports, reconcile monthly activity and communicate funding approvals. -Ensure project and accounting data and information is organized, accurate, complete and current to support timely invoice generation and accurate financial reporting.

• Identify unfunded work and communicate to appropriate project manager
• Responsible for job closure, final invoicing and closure tracking
• Create and maintain job files and complete various filing duties.
• Generate and track submittals, request and track subcontractor compliance documents.
• Enter and submit invoices by electronic data interchange into customer invoicing web sites.
• Maintain the accuracy and integrity of project information and data contained in the project

database, regularly updating the database making modifications to ensure the information captured at the project level is accurate, complete and meets contract requirements. -Reconcile billing inconsistencies or issues as necessary in order to ensure timely payment of outstanding balances. Enter any change orders into system and process credit memos. -Participate in finance and operations team meetings to ensure streamlined workflow and enhancement of operational processes. -Provide workflow and backup support to other members in the finance and admin group to ensure timely and accurate completion of all accounting functions. -Special projects as needed. What you’ll need -This position requires a combination of skills, experience and education including, but not limited to: Three years of experience performing similar accounting related functions. Candidates with project administration and/or job costing experience in the construction industry will be given preference -General understanding of accounting and how the components fit together to support strong financial reporting -Strong MS Excel and Word skills as well as experience using integrated accounting system software such as Oracle - Ability to effectively present information and respond to questions from groups of managers, contractors and customers - Exhibits strong initiative, ability to manage competing priorities and multiple, simultaneous tasks and the ability to work independently with little supervision.
