Summary:
This position provides collaboration, communications, and support to our team and clients on a regular basis. In this role, established processes/procedures must be followed with an understanding of the process workflow in order to recognize and resolve problems or discrepancies. Professional communications, time management, organizational skills, ability to prioritize tasks, meet deadlines, and switch gears quickly are necessary skills to fulfill the needs of this position. This is a key role in coordinating our team's services for our clients.
Essential Functions:
- Manage incoming emails and client calls relating to client services.
- Greet visitors to the office, determine the nature and purpose of their visit, and escort them to the appropriate destination.
- Schedule client calls and meetings utilizing appropriate office resources.
- Coordinate client and service provider meetings, prepare meeting agendas, and gather and distribute all meeting materials/documents.
- Attend meetings, take minutes when appropriate, and document and assign follow-up action items.
- Provide administrative support to the leadership team.
- Maintain client and service provider database.
- Monitor and take follow-up action for assigned email accounts.
- Manage the client service survey process.
- Manage the client year-end report process, gathering and providing appropriate documentation.
- Assist in the oversight of annual client service projects.
- Complete assigned workflow tasks and monitor shared service tasks and support responsibilities.
- Maintain client records, scan incoming documents to client files or team members, and perform other organizational responsibilities to support team service efforts.
- Manage client mailings of required notices, company newsletters, ad hoc communications, etc.
- Manage special projects, as assigned, and work independently or with team members on special non-recurring and ongoing projects.
- Provide support to other team members and look for opportunities for improvement.
- Perform other duties and tasks, as assigned.
Core Competencies Needed:
- Experienced user of the Microsoft Office Suite tools, including Word, Excel, Outlook, SharePoint, Teams, and database applications.
- Skilled in navigating websites and saving files in various formats.
- Positive, collaborative, and proactive attitude.
- Great attention to detail and solid math skills.
- Ability to manage multiple projects from start to completion.
- Excellent written and verbal communication skills.
- Possess strong project and time management skills.
Preferred Experience:
- 5+ years of experience in office administration and/or support.
- Experience in medical or financial services office environments.
- Experience in providing high-touch client service and support.
