Purpose

The Facilities Coordinator supports the day-to-day operation, maintenance, safety, and administration of the facility to help ensure a safe, clean, functional, and compliant workplace. This position works closely with site leadership, vendors, contractors, and employees to support facility operations, manage facility-related projects, and maintain a positive workplace environment.

  • Conduct routine inspections of the facility to identify safety concerns, maintenance needs, and operational issues.
  • Coordinate and oversee vendors, contractors, and service providers performing work on-site.
  • Perform light maintenance duties, including lamp replacement, minor plumbing repairs, and general facility upkeep.
  • Assist with office moves, furniture assembly, workspace reconfigurations, and equipment relocations as needed.
  • Support compliance with Environmental Health & Safety (EHS), fire and life safety, security, and company policies.
  • Create, update, and maintain work orders, maintenance records, and facility documentation.
  • Prepare reports, business justifications, and facility-related communications.
  • Monitor contractor activities and track facility-related expenditures.
  • Obtain vendor quotes to support cost-effective facility operations.
  • Assist in evaluating vendor proposals, preparing business justifications, and supporting small facility improvement projects.
  • Maintain positive working relationships with employees, vendors, contractors, and leadership.
  • Support emergency response activities and other operational needs as required.
  • Safely operate hand and power tools when necessary.

Required Qualifications

  • High School Diploma, GED, or equivalent.
  • Minimum one (1) year of experience in facilities, maintenance, building operations, or a related field.
  • Must be able to work Monday-Friday 11AM-7:30PM EST with some overtime and weekends as needed. Availability for emergencies
  • Strong communication, organization, and customer service skills.
  • Strong organizational skills with the ability to manage multiple tasks, priorities, and deadlines.
  • Proficiency with Microsoft Office and Google Workspace applications, including email, spreadsheets, document creation, and calendar management.
  • Ability to read, understand, and follow verbal and written instructions.
  • Ability to remain professional and composed during emergencies and rapidly changing situations.
  • Must successfully pass a background check consistent with company policy and applicable laws.

Preferred Qualifications

  • Experience coordinating vendors, contractors, and facility service providers in a commercial office, industrial, or corporate environment.
  • Experience maintaining work orders, service records, and facility documentation.
  • Experience supporting office moves, workspace reconfigurations, and small facility improvement projects.
  • Experience supporting facility budgets, tracking expenditures, obtaining vendor quotes, and monitoring project costs.
  • Ability to prepare business justifications, review vendor proposals, and recommend facility-related improvements.
  • Basic understanding of commercial building systems, including HVAC, backup power systems, fire and life safety systems, security systems, and building automation systems.
  • OSHA, Facilities Management, HVAC, First Aid/CPR, or similar industry certifications preferred.

Schedule & Travel

  • Full-time position regularly scheduled for 40 hours per week.
  • Overtime is paid in accordance with company policy and applicable law.
  • Participation in an on-call rotation is required to support facility emergencies, planned maintenance activities, and special events. Employees may be contacted outside of regularly scheduled working hours to address business-critical operational needs. Depending on the nature and scope of an event, multiple Facilities team members may be requested to respond.
  • No routine travel is required for this position.

Physical Requirements

  • Ability to walk, stand, bend, stoop, climb ladders, and move throughout the facility.
  • Ability to safely operate hand and power tools.
  • Ability to lift and carry up to 35 pounds independently; assistance is required for heavier items.
