Position: Inside Sales Coordinator (Manufacturing Plant/ Office)

Office Location: Houston, TX 77086

Work Hours; Monday to Friday @8:00-17:00 (Lunch: 1 hour)

Status: Non-exempt (Qualified for OverTime pay)

Salary: $25.00~30.00 per hour+ Overtime

**Annual Base: $52,000~62,400

Start: Immediately

Temp to a Direct Hire in the future (The term is not specified)

Work Style: 100% Onsite

Language: English

Required Education: a Bachelor's Degree (Must)

Required Work Experience: Inside Sales over 3 years (B2B/ Manufacturing experience)

Required Skills: Advanced knowledge in SAP or some accounting softwars: QuickBooks/ Excel

JOB SUMMARY: 

The Inside Sales Coordinator performs a wide range of Inside Sales and Sales Operations functions to support daily business activities. The primary responsibility is to maintain an uninterrupted supply chain of PAM products to TMNA (Toyota Motor North America) through accurate order processing, shipping documentation, inventory coordination, and proactive customer communication.

The role also includes providing quotations, delivery information, logistical arrangements, and administrative support for multiple customer accounts including Toyota, Yarn customers, and other industrial clients.

JOB RESPONSIBILITIES:

1. General Inside Sales & Administrative Duties

-Answer telephones, takes messages, and checks voicemail and e-mail.

-Greet visitors and clients at the front door. 

-Understand customer needs and requirements. 

-Build and maintain close relationships with customers. 

-Attend supplier seminars as required. 

-File sales documents and quotations for others. 

-Communicate with the overseas department to carry out our assignments. 

-Perform other related duties as necessary to meet ongoing company needs

-Prepare and verify Sales Order, Purchase Orders, and invoices as part of daily order processing, and update related documents

-Responsible for material and product inventory management such as purchase order, delivery track, and track of usage.

-Prepare shipping documents and coordinates the shipping

-Process venders’ invoices and inquiry if necessary

-Conducts inventory management and inventory count at the warehouse

-Supports the semi-annual Audit

-Manage accounts receivable and follow up with customers regarding overdue payments

2. Sales Operations Product Support

-Support sales of PAM products including: Mechanical Seals, Gland Packing, Gaskets, Toyota TVG Gaskets, Pump and other new market products

-Develop sales opportunities by researching potential accounts and preparing quotations

-Route qualified opportunities to appropriate sales executives for further development and closure

-Represent inside sales activities for MS, GP, VG product lines

-Attend customer meetings, conference calls, and exhibitions as required

3. Quality NCR Responsibilities

-Initiate NCRs when inprocess defects or potential product defects are found or reported by customers

-Suspected NCR items cannot be judged or shipped without QC and Manager authorization

-Any work beyond the listed authority must be approved by the Manager

4. Toyota (TMNA) Responsibilities

-Inventory control at Laredo and Houston, including PO issuance to NPKM

-Daily shipping tasks: ASN, Invoice, Service Parts handling, forecast updates

-Laredo Warehouse coordination: invoice detail confirmation, overtime requests, and other

communications

-Administrative role in Toyota Supplier.com (accounts: 17241 / 17240 / 7550B / 7550A)

-QIMS: SCR/PCR change request handling

-VPACS: packaging and shortage reporting

-Respond to various TMNA surveys

-Attend meetings and conference calls: company introductions to new buyers, discussions with

NAMCs, etc.

-Toyota remittance processing

-Handle all other miscellaneous tasks related to Toyota projects

5. Yarn Customer Responsibilities

-Inventory control at Houston and consignment locations, including PO issuance to NPKM and NPPC

-Communicate with customers, NPKM, and NPPC

-Handle all other miscellaneous tasks related to Yarn projects

6. Other Customer Responsibilities

-Prepare quotations

-Communicate closely with customers

-Manage VELAN orders and update sales history ledger

-Communicate closely with NPPC

-Attend meetings and conference calls

-Participate in exhibitions as required

7. Internal Coordination

-Coordinate with Japanbased production and logistics teams through HQ.

-Collaborate with the Sales team to prioritize customer needs

-Support operational and administrative tasks as needed

REQUIRED EDUCATION:

-Bachelor’s degree required

REQUIRED EXPERIENCE

-Proficiency in Excel functions such as Vlookup, data consolidation, and calculation formulas

-Experience with Sage or similar accounting software (QuickBooks, Peachtree, SAP, etc.)

-Experience with BOL, Packing List, and Commercial Invoices (export and domestic)

-Thorough knowledge of business English, spelling, and punctuation

-Thorough knowledge of office practices, procedures, and equipment

-Knowledge of departmental functions and organizational structure

-Skill in composing, formatting, and typing various correspondence, reports, and materials accurately and efficiently

-Ability to perform diverse Inside Sales assignments requiring independent judgment

-Ability to meet and deal effectively with customers, associates, and the general public
