Site Manager

The Site Manager leads daily operations at their assigned location, creating exceptional experiences for members while managing staff/facilities, administrative tasks, and community outreach. This role serves as the on-site leader responsible for implementing organizational standards while addressing immediate needs and opportunities. As a growing position, the responsibilities of the site manager are subject to change at any time.Education and ExperienceExperience: Site Managers have worked at Spirited Play Labs at least 1 month and have some experience working with neurodivergent or disabled children (minimum 6 months). Staff should also have experience doing managerial & administrative duties similar to the role of at least 6 months.Education: They should at minimum have a high school diploma. Having completed a Bachelors or Masters degree in a related field increases staffs starting pay. Site Managers can complete Floortime 101 while beginning this role. Essential FunctionsStaff Leadership & DevelopmentSupervise and coordinate daily activities of site staffHire staff based on company needsTrain new staff on culture and systemsMaintain staff schedules for the location in a timely mannerProvide real-time coaching and support to team members while relying on SPL philosophy and cultureFoster a positive, collaborative team cultureCommunicate operational updates and requirements to onsite staff, including running monthly staff meetingsAct as liaison between direct staff (those who work with families daily) and management team to ensure needs of direct staff are being reflected in management decisions in a timely manner Provide regular feedback to staff about job performance and complete bi-annual performance reviewsOnboard volunteersMember ExperienceEnsure exceptional service standards for all membersAddress member questions, concerns, and feedback promptlyOversee check-in/check-out processesCreate a welcoming, inclusive environmentComplete all first time visits with a 50% conversion rate to membership tier and/or birthday partiesSend one monthly membership email to your sites membersUtilize Circle app for upcoming events and announcementsContacting any member families in need of additional support or follow-up for repair after breakdownMaintaining member wallFacility OperationsMaintain facility standards for safety, cleanliness, and functionalityConduct daily facility inspections and report back any outstanding issues to managementCoordinate basic maintenance and repairsMaintain clean closets without leftover items (fix, throw away, or put into SPL equipment library)Manage local inventory and suppliesImplement safety and emergency proceduresWork with Program Director to update physical space / items quarterlyCommunicate with landlord/property management when any issues ariseMaintain Motion Detector Camera system while onsite and offsiteResponsive to any needs within the building, including during off-hoursExpectation to be onsite 4 days per week for the closing shift (~ 11 am - 7 pm) to accommodate high traffic site needsAdministrative FunctionsMaintain professional communication by managing your locations email account and telephone system dailyMaintain accurate attendance and participation records through SPLs software systemDocument member concerns and resolutions via written recordBook and properly schedule parties, site rentals, or additional speciality services using all needed software systemsComplete weekly and monthly operational reportsManage member contracts, which includes failed billing and handling pauses or cancellationsManage administrative aspects of play coaching: schedule sessions through POS system, reschedule sessions as needed, stay in active communication with members, send introductory packets via email to new members, continue to monitor wait list & notify Executive Assistant of staffing needs for play coachingFollow policies and procedures laid out via manuals and handbooks from Executive TeamMonthly regional center and self determination program billing Quarterly contact with regional centers to renew or upgrade/downgrade membershipsMaintain detailed notes using Mindbody about each member family, including safety concerns, names/ages of children, and special information to knowCommunication & CoordinationServe as primary on-site point of contactMaintain clear communication with Executive AssistantCoordinate with other site managers on cross-location mattersInterface with vendors for basic service needsEscalate significant issues appropriatelyCreate connections with outside organizations for referral pipelines, through in person and virtual methodsWhen offsite, remain available as-needed for onsite staff problem solving needsRequired Skills/Abilities:Clear, direct verbal communication skills.Compassionate interpersonal and conflict resolution skills.Thorough time management skills with a proven ability to meet deadlines.Strong problem-solving skills within a team.Ability to act with integrity, professionalism, and confidentiality.Willingness to engage in self-awareness and personal insight.Strong ability to regulate self emotionally and physically.Excellent growth mindset and adaptability.Engage in a positive, collaborative team cultureExcellent organizational skills and attention to detail.Excellent self-advocacy skills with a recognition of individual responsibility.Strong analytical and problem-solving skills.Ability to prioritize tasks and to delegate them when appropriate.Ability to learn new programs or software solutions quickly.Work Setting - This role operates in a high-energy, fast-paced environment that requires significant adaptability. The setting is a membership-based inclusive play space designed to be sensory-friendly for children, including those who are neurodivergent or disabled. Staff should expect typical noise levels associated with children's play environments. Due to the nature of the program, employees must possess the emotional resilience required to support children who may be experiencing behavioral or emotional challenges.Body Positioning - The role requires a high level of physical versatility, ranging from sitting to work on a computer or iPad to standing, bending, kneeling or sitting on the floor. Must also be capable of occasionally lifting up to 50 pounds.Work Attire - Casual.Office Hours - Weekdays 9am - 7pm, Saturdays 8am - 5pm or Sundays as needed. Expected to be onsite 4-5 days per week for ~8 hours each day. Option to work from home 1-day depending on business operations.
