Lab Programs Administrator (On-site)

We are seeking a highly organized, detail-oriented Lab Programs Administrator to support laboratory operations and certification programs. The ideal candidate is a proactive problem-solver who can manage multiple priorities, maintain accurate records, and coordinate effectively with clients and technical staff.

Position Summary

The Lab Programs Administrator is responsible for coordinating administrative activities necessary to fulfill contractual requirements associated with laboratory and certification programs. This on-site position supports scheduling, data management, technical documentation, client communications, and quality system support to ensure program requirements and deadlines are met.

Key Responsibilities

• Coordinate inspection schedules and field inspections with clients, program managers and field representatives.
• Prepare, distribute, and maintain inspection and testing datasheets.
• Coordinate the receipt, identification, tracking, and disposal of test specimens and samples.
• Enter, review, and maintain program data and records to ensure accuracy and completeness.
• Prepare, process and distribute technical reports and program documentation.
• Prepare and distribute certification documents following appropriate authorization.
• Serve as a point of contact for routine program communications and coordinate information among clients, field representatives, and laboratory staff.
• Support quality management system (QMS) activities, including document control, recordkeeping, and compliance with established procedures.
• Provide general administrative and operational support to laboratory programs and other departments as needed.

Qualifications

• Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
• Excellent attention to detail and commitment to accuracy.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office applications.
• Ability to maintain accurate records, manage databases, and work with technical documentation.
• Ability to work independently and collaboratively in a team environment.
• Strong customer service skills and a proactive approach to problem-solving.
• Ability to follow established procedures and maintain confidential information.

Preferred

• Experience in a laboratory, testing, certification, quality assurance, manufacturing, or technical environment.
• Experience with database management, technical data entry or document control.
• Familiarity with quality management systems (QMS).
• Experience coordinating schedules, inspections, or field personnel.
• Forklift experience or willingness to complete training.
