Billing Specialist (Data Entry) - Construction Industry
Position Summary
We are seeking a detail-driven
Billing Specialist
to support our construction operations with a strong focus on
data entry and invoice processing
. This role is responsible for ensuring accurate billing for projects, maintaining financial records, and supporting administrative workflows in a fast-paced construction environment.
Key Responsibilities
Billing & Accounts Duties:
Prepare and submit client invoices, including progress billing and time & materials billing
Review contracts, purchase orders, and job cost data to ensure accurate billing
Track project costs, change orders, and billing schedules
Reconcile accounts and follow up on outstanding invoices
Assist with accounts receivable and resolve billing discrepancies
Data Entry & Administrative Duties:
Accurately enter job data, invoices, and financial information into accounting systems
Maintain up-to-date records of project billing, vendor invoices, and payments
Audit data for accuracy and correct errors as needed
Generate billing and financial reports for project managers and leadership
File and organize documents such as contracts, invoices, and lien waivers
Qualifications
High School Diploma or GED required; Associate's degree in Accounting or related field preferred
1-3 years of billing, accounting, or data entry experience (construction industry preferred)
Familiarity with construction billing processes (AIA billing, job costing, or progress billing is a plus)
Skills & Competencies
Strong data entry accuracy and attention to detail
Proficiency in accounting software (e.g., QuickBooks, Sage, or similar) and Microsoft Excel
Understanding of construction documents such as contracts and change orders
Ability to manage multiple projects and deadlines simultaneously
Strong communication and organizational skills
Ability to handle confidential financial information with discretion
