Salary Range: $130K-$150K/Year

While the audience sees the finished event, a tremendous amount of work happens behind the scenes to ensure projects are financially sound, accurately documented, and successfully delivered from start to finish.

We're looking for a Commercial Sales and Support who enjoys working across multiple teams, has strong organizational and financial skills, and takes pride in keeping projects on track from initial sales opportunity through final invoicing and closeout.

What You'll Do

As part of our commercial operations team, you'll play a key role in supporting the complete lifecycle of live-event projects. You'll serve as a critical link between Sales, Account Management, Project Management, Operations, and Finance, helping ensure projects are set up correctly, documentation is complete, and project financials are managed accurately.

Responsibilities include:

• Maintaining accurate customer, project, pipeline, and forecasting data within CRM, ERP, and financial systems.
• Supporting Sales and Account Management teams with project setup, customer onboarding, quotes, and commercial documentation.
• Reviewing and managing customer contracts, purchase orders, vendor registrations, and project-related documentation.
• Coordinating project setup activities to ensure customer requirements and billing information are accurately captured.
• Managing scope changes and supporting change order documentation throughout the project lifecycle.
• Reviewing completed project files and ensuring all required documentation is complete prior to invoicing.
• Partnering with Finance to support timely and accurate customer billing.
• Monitoring project financials, identifying variances, and helping protect project profitability.
• Assisting with billing discrepancies, purchase order issues, and customer payment concerns.
• Generating reports related to project profitability, revenue forecasting, billing status, and operational performance.
• Supporting process improvements that enhance efficiency, data accuracy, and communication across departments.
• Collaborating closely with Sales, Operations, Project Management, and Finance teams to ensure successful project execution.

• Has strong Microsoft Excel and business systems experience.

Bonus Points For Experience With

• Live events, AV production, entertainment technology, or rental operations.
• CRM, ERP, and project management systems.
• Microsoft Business Intelligence (Power BI) or other reporting and analytics tools.
• Project accounting, gross margin analysis, and financial reporting.
• Revenue tracking, project closeout, and billing processes.

Qualifications

• High school diploma or equivalent required.
• Associate's or Bachelor's degree in Business, Finance, Accounting, Operations, Project Management, or a related field preferred, but not required.
• Minimum of three years of experience in sales operations, commercial operations, project administration, finance support, customer account support, or a related business function.
• Experience supporting project-based environments and cross-functional teams preferred.
• Proficiency with Microsoft Office applications, particularly Excel.
