Job Description Caring Hands adult day program for seniors and adults with special needs seeks an administrator who is enthusiastic, compassionate, kind, and reliable. This position combines direct care responsibilities working one on one with specific clients, developing and implementing group programs and activities. Responsible for directing and overseeing the day-to-day operations of a licensed adult day program that is licensed and inspected by the State of Colorado. The administrator interprets and plans the program and transportation department’s services, objectives, and standards. They assure compliance with federal and state regulatory agencies, including staffing requirements, medical and non-medical services, dietary regimens, social activities, staff education, and safety plans. Abuse and neglect cases are identified and reported to regulatory agencies as necessary. Program services are monitored to assure quality of care and changes in program guidelines are recommended as needed. The administrator recommends a budget to implement stated objectives, fosters a professional, healthful environment, and promotes positive employee morale. Hours: Monday through Thursday from 6:30 am to 4:30 pm. Essential Duties and Responsibilities Understand and accept that client needs define direct care staff duties and consult with the Day Program Director for any changes. Participate in training to learn developmental best practices, individual participant needs, correct documentation, and other job-related responsibilities. Collaborate with the client’s guardian and/or day program staff to keep open communication regarding progress. Provide training in independence, self‑care, communication, social skills, recreational and leisure skills, and vocational/pre‑vocational skills; ensure clients are not left alone and supervise them in all program aspects as needed. Document clients’ progress and submit it in a timely manner. Transport members from residence to program and to community connections. Ensure CO DHS records management and documentation rules and Caring Hands policy and procedure manual are followed. Attend monthly QA/QI staff meetings. Implement the client’s Individualized Services and Support Plan (ISSP); assess status and address problem behaviors and incidents per the ISSP. Provide support for basic self‑care, socialization, personal hygiene, health support, feeding, cooking, laundry, cleaning, transfers, handling bodily fluids with universal precautions, recreational/vocational/educational activities, nutrition, emotional support, and hobbies. Perform related administrative duties as assigned. Coordinate a variety of services from a team approach for consistent planning of community clients. Monitor client progress, reassess needs, and evaluate quality of services received. Ensure clients have viable service plans and address needs immediately. Secure necessary service authorizations and re‑authorize prior to expiration. Report critical incidents and ensure client safety. Maintain ongoing contact with clients, families, and case managers and respond promptly to inquiries. Note changes in diagnosis or medication in the client chart promptly. Help clients develop skills related to community living, housekeeping, shopping, cooking, transportation, money management, personal care, medication management, social relationships, and leisure. Assist clients in securing education services and pre‑vocational activities that increase self‑worth and confidence. Monitor operations to ensure staff compliance with policies, safety rules, contracts, environmental policies, or regulations. Give facility tours. Assist director and general manager. Post events on company website and social media sites. Serve as communications hub during emergencies or weather closures. Skills and Qualifications Facilitate meetings. Answer multiline phones. Full understanding and adherence to client rights and confidentiality policies. Professional dress, language, and conduct. Positive and solution‑focused attitude. Consent to a pre‑employment drug screen. Ability to use office equipment, software, computers, and smartphones. No substantiated findings of abuse or neglect with the Colorado Department of Human Services. Pass a CBI/FBI fingerprint and CAPS background check. Complete all required trainings within 90 days of hire (CPR, First Aid, QMAP). Demonstrate competence in core skills: technical knowledge, cultural awareness, analytical skills, decision‑making, interpersonal skills, communication skills, and clinical skills. Knowledge of basic human physical and psychological needs and health and safety precautions. Perform each essential duty satisfactorily; reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. High School Diploma or equivalent with at least 2 years of direct care experience at a day program, or a bachelor’s degree in Human Services or a related field preferred. Preferred candidate at least 25 years of age with experience teaching or working with individuals with developmental or intellectual disabilities and/or mental health issues, including understanding brain injury. Valid driver’s license and clean driving record (no more than 6 points in the last 3 years). Fluency in a second language is a plus but not required.
