Role Overview

The Facilities Specialist is a pivotal role responsible for assisting with managing and optimizing the physical environment of an organization. This position involves coordinating a range of tasks related to office facilities, maintenance, safety, and vendor relationships to ensure a safe, efficient, and well-maintained workplace.

Key Responsibilities

• Assist with day-to-day maintenance of the office, including repairs, cleaning, and safety measures.
• Assist coordinating with external service providers for maintenance and repairs.
• Build and maintain relationships with vendors and service providers, including contractors, janitorial services, and security personnel.
• Assist with obtaining quotes, negotiating contracts, and ensuring services are delivered as agreed.
• Assist in planning and optimizing office space to meet the organization's needs.
• Assist with coordinating office moves, reconfigurations, and workspace allocation.
• Assist with implementing and enforcing safety and security protocols, including emergency response plans and access controls.
• Assist with conducting safety inspections and assessments.
• Assist with maintaining inventory of office supplies and equipment, ensuring they are well-stocked.
• Promote and implement sustainable practices within the workplace, such as waste reduction and energy conservation.
• Assist in planning and organizing office events, meetings, and conferences.
• Maintain records and documentation related to facilities, repairs, and maintenance activities.

Required Qualifications

Experience: Proven experience in facilities coordination or management.

Technical Skills: Proficiency in office productivity software and facility management systems. Strong organizational, multitasking, problem-solving, and decision-making abilities. Excellent written and verbal communication skills. Attention to detail and a commitment to safety. Interpersonal and negotiation skills for vendor management.

Preferred Qualifications

• Knowledge of environmental sustainability practices is preferred.
• Familiarity with budgeting and financial management is a plus
