Gift Processing Specialist

Job Summary The Gift Processing Specialist serves as the primary administrator for the receipt, processing, recording, and acknowledgment of charitable contributions to Lamar University. This position ensures the accurate and timely recording of gifts and pledges; maintains compliance with university policies, CASE standards, IRS regulations, Texas State University System requirements, and State of Texas guidelines; and supports fundraising, donor stewardship, and reporting activities. The position serves as a key liaison among donors, University Advancement, Finance, Human Resources, Payroll, and campus departments to ensure the integrity of gift records and donor data. Essential Job Functions Receive, review, process, and record all charitable contributions, including cash, checks, credit cards, ACH transactions, payroll deductions, matching gifts, pledges, and gifts-in-kind. Prepare deposit documentation, process gifts in the University Advancement database, generate donor acknowledgments and tax receipts, and ensure compliance with university gift acceptance policies, CASE standards, IRS regulations, TSUS requirements, and State of Texas guidelines. Analyze gifts and pledge documentation to determine appropriate campaign, appeal, fund, designation, and account coding; research and resolve gift-related discrepancies to ensure accurate recording and reporting. Generate and distribute gift, donor, pledge, and fundraising reports, including daily major gift reports, quarterly TSUS Board of Regents reports, and other reports supporting donor stewardship, fundraising, and compliance activities. Monitor and administer outstanding pledges and the corporate matching gift program by tracking commitments, processing matching requests, issuing reminders, conducting follow‑up communications, and maintaining accurate records of pending and completed gifts. Collaborate with University Advancement staff, Finance, Human Resources, Payroll, and other campus departments to ensure proper gift administration, payroll deduction processing, regulatory compliance, donor stewardship, and record management. Provide administrative and database support, including updating constituent records, processing correspondence and mail, responding to inquiries, maintaining online giving information, assisting with gift entry operations, and recommending process improvements to enhance efficiency and data integrity. Minimum and Desired Qualifications Minimum Qualifications: Associate's degree or two-year college equivalent or experience required or one to two (1-2) years of directly related experience. A minimum of two (2) years of experience in gift processing, donor services, advancement services, fundraising operations, accounting, or related administrative functions. Desired Qualifications: Experience in higher education, healthcare, foundation, or nonprofit fundraising environments. Knowledge of IRA charitable giving regulations and gift acceptance practices. Experience with electronic payment platforms and online giving systems. Supplemental Information Key Competencies: Strong attention to detail, accuracy, and dependability. Ability to manage multiple projects simultaneously while meeting strict deadlines. Use of judgment, sensitivity, and discretion in handling confidential materials and situations. Excellent numerical, organization, proofreading, customer service, and written and oral communication skills required. Possess general office skills, business communication skills, and experience working with the public. Experience using computers including word processing and spreadsheets. Physical Requirements: The essential functions of this position require the capacity to remain seated for prolonged durations. Job Conditions: Standard work hours are Monday through Friday, 8:00 am - 5:00 pm. Occasional overtime may be required based on gift volume and the operational needs of the department.
