Operations Manager

Shea Dental is seeking an experienced Dental Operations Manager to lead the day-to-day business and administrative operations of our Scottsdale practice. This is a true operating leadership position—not a front desk-only role. You will be responsible for keeping the practice organized, the team accountable, the schedule productive, and the patient experience consistent. The right candidate is an experienced leader who understands how a successful dental or healthcare practice operates. You should be comfortable managing people, reviewing performance metrics, improving systems, resolving problems, and taking ownership without requiring constant direction. You will work closely with the practice owner and clinical team to create a well-run, efficient, and patient-focused organization. Dental Operations Manager – Shea Dental – Scottsdale, Arizona Full-time | On-site What You Will Own Practice Operations Oversee the daily business and administrative operations of the practice Ensure the office runs efficiently, professionally, and on schedule Coordinate workflows between the front office, clinical team, hygiene department, and providers Identify operational problems and implement practical solutions Develop, document, and maintain effective office systems and standard operating procedures Ensure policies and procedures are consistently followed Scheduling and Patient Flow Oversee provider and hygiene scheduling Monitor schedule utilization, cancellations, openings, and patient flow Help the team maintain productive schedules without compromising patient care Improve scheduling systems, confirmation processes, and treatment follow-up Address scheduling or communication breakdowns before they affect patients or production Team Leadership Lead, coach, and develop administrative and clinical support team members Establish clear expectations and maintain staff accountability Manage employee schedules, attendance, performance, and day-to-day personnel issues Conduct regular team meetings, performance conversations, and follow-up Support recruiting, interviewing, hiring, onboarding, and training Build a professional culture centered on responsibility, communication, teamwork, and patient service Performance and Financial Oversight Monitor key practice performance indicators and prepare regular reports for the owner Track scheduling performance, production, collections, accounts receivable, case acceptance, patient retention, and other operational metricsAssist with budgeting, expense management, payroll coordination, and basic financial oversight Support billing, insurance, collections, and patient account workflows Identify performance trends and develop action plans when results fall below expectations Patient Experience Ensure patients receive clear communication and a consistently professional experience Help resolve escalated patient concerns calmly and appropriately Improve systems related to patient communication, scheduling, treatment coordination, and follow-up Maintain a welcoming and organized environment throughout the practice Compliance and Vendor Management Support compliance with HIPAA, OSHA, office policies, and applicable dental regulations Maintain employee records, required documentation, and operational checklists Coordinate relationships with vendors, service providers, software companies, and outside partners Review vendor performance and identify opportunities to improve service or control expenses What Success Looks Like The practice operates smoothly without constant owner intervention Team members understand their responsibilities and are held accountable Provider and hygiene schedules are organized and productive Patient communication and follow-up are reliable Operational issues are identified and resolved quickly Practice performance is measured, reported, and continuously improved Systems are documented and consistently followed The team works together effectively in a professional environment Qualifications Required Previous experience managing operations, teams, or business functions in a dental, healthcare, or similarly complex service environment Demonstrated experience supervising employees and managing staff performance Strong organizational, problem-solving, and time-management skills Ability to review reports, understand performance metrics, and make operational decisions Professional written and verbal communication skills Ability to manage competing priorities in a fast-paced environment Strong attention to detail and follow-through Comfort using practice management software, scheduling systems, spreadsheets, and standard office technology Ability to work full-time and on-site in Scottsdale, Arizona Preferred Dental practice management or dental office leadership experience Knowledge of dental scheduling, billing, insurance, collections, and treatment coordination Familiarity with HIPAA, OSHA, and dental office compliance requirements Experience implementing process improvements or leading organizational change Experience participating in recruiting, onboarding, and employee development Associate’s or bachelor’s degree in business administration, healthcare management, or a related field A degree is preferred but not required when supported by strong, relevant leadership experience.
