Assistant Office Manager

Raymond Scott - State Farm Agent is seeking a highly organized, proactive professional to serve as Assistant Office Manager and work directly with Ray Scott in coordinating the priorities and operations of a two-office insurance agency.

Despite the title, this is not a traditional front-desk or clerical office manager role . The position is closer in scope to an Executive Assistant and Operations Coordinator and is best suited for someone who enjoys creating order, managing competing priorities, working with numbers, and making sure important work gets finished.

The standard is simple: when something is delegated to you, it should not require a second reminder

What You'll Own

You will help keep the Agent and agency organized by taking responsibility for areas including:

• Managing Ray's calendar, meetings, priorities, email follow-ups, and important deadlines.
• Coordinating recurring leadership meetings, Team Member one-on-ones, and action-item follow-through.
• Maintaining PTO, Team Member recognition, continuing education, licensing, and other recurring administrative schedules.
• Coordinating Sales and Customer Service audit processes and reporting.
• Calculating Team Member commissions and chargebacks and researching discrepancies.
• Completing recurring Premium Fund Account reporting, reconciliations, and supporting documentation.
• Preparing spreadsheets, reports, dashboards, presentations, and other business materials.
• Coordinating office vendors, supplies, recruiting, onboarding, events, and special projects across two locations.

This role has access to confidential personnel, compensation, financial, and business information. Discretion and sound judgment are required

• Naturally use calendars, trackers, checklists, or systems to manage your work.
• Can balance multiple priorities and recognize what needs attention first.
• Are comfortable with spreadsheets, calculations, reconciliations, and detailed reporting.
• Notice inconsistencies and investigate rather than simply passing them along.
• Communicate professionally and are comfortable following up when someone owes you information or action.
• Know when to solve a problem independently and when to escalate it.
• Can be trusted with highly confidential information.
• Learn new processes and technology quickly.

Experience as an Executive Assistant, Office Manager, Operations Coordinator, Administrative Manager, Business Operations Specialist , or in a similarly high-responsibility administrative role may translate well.

This Role Is Not for Everyone

This position is unlikely to be a strong fit if you prefer highly structured work where priorities are assigned one task at a time, need frequent reminders to maintain follow-through, dislike detailed numerical work, or are uncomfortable holding others accountable for deadlines.

We are looking for someone who sees an open loop and wants to close it.

What Success Looks Like

You know what is due before it becomes urgent. Meetings and follow-ups stay organized. Reports are accurate. Discrepancies get investigated. Commitments are tracked. Problems are surfaced early.

Most importantly, Ray can delegate something and trust that you will complete it, coordinate its completion, or bring it back when his decision is genuinely required
