What We're Looking For :

A highly organized and proactive Sales & Marketing Coordinator who will play a key role in supporting our Sales Managers and the Director of Sales & Marketing. You will ensure seamless coordination of events, manage critical communications, and deliver exceptional service to both internal teams and external clients. This position requires a detail-oriented professional who thrives in a fast-paced hospitality environment and is committed to creating memorable experiences for every guest.

What You'll Do :

Sales & Marketing Coordination

• Support Sales Managers and the Director of Sales & Marketing with administrative tasks, including contract preparation, documentation, client correspondence, marketing support, and sales coordination.
• Coordinate administrative tasks and support sales-related activities to ensure efficient operations and exceptional client service.

Communication Management

• Draft, review, and distribute correspondence including emails, memos, contracts, and event details to clients and internal teams.
• Maintain accurate documentation and ensure timely communication of updates.

Reservation & Client Support

• Coordinate guest reservations, special requests, and amenities to guarantee an exceptional experience.
• Qualify leads, assist clients with group details, and conduct site visits when required.

Reporting & Administration

• Prepare regular reports and maintain organized records for events and client interactions.
• Support operational teams with administrative tasks to ensure smooth workflow.

Team Collaboration

• Partner with Operations and Restaurant teams to facilitate successful execution.
• Act as a liaison between departments to maintain alignment and deliver exceptional service.

Other Responsibilities

• Demonstrate regular and reliable attendance.
• Attend/complete all mandatory training sessions and meetings.
• Other duties as assigned.

Your Experience Includes :

Education :

• High School Diploma or equivalent required; Associate's or Bachelor's degree in Hospitality Management, Business Administration, or related field preferred.

Experience :

• Minimum 2 years of administrative or clerical experience, preferably in hospitality.
• Customer service or sales support experience is a plus.
• Previous exposure to event coordination, catering, or sales departments preferred.

Technical Skills :

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Familiarity with CRM systems or sales platforms such as Delphi, Opera, or Salesforce preferred.
• Knowledge of event management software and property management systems (PMS) beneficial.

Physical Requirements :

• Ability to sit for extended periods, occasional lifting up to 25 lbs, and mobility between meeting rooms and office areas.

Certifications :

• None required; certification in administrative or office management is a plus.
