The HVAC Dispatcher is the central point of contact for coordinating all service calls, scheduling technicians, and ensuring efficient operations. This role requires a detail-oriented individual who can handle multiple tasks while providing excellent customer service."

Responsibilities:

• Scheduling and Dispatching: Scheduling and assigning jobs to technicians based on skills, location, and availability, and dispatching them to service calls, prioritizing based on urgency.
• Route Optimization: Planning efficient routes to minimize travel time and fuel costs.
• Customer Communication: Confirming appointments, providing accurate estimated times of arrival (ETAs), and handling reschedules.
• Technician Coordination: Keeping technicians informed of job details, special instructions, and any needed parts or equipment.
• Emergency Handling: Adjusting schedules quickly to accommodate urgent service calls.
• Workload Management: Balancing technician workload to optimize efficiency and prevent burnout.
• Data Entry and Reporting: Logging completed jobs, tracking service trends, and maintaining accurate customer records.
• Inventory and Parts Coordination: Ensuring technicians have the necessary parts and tools before dispatching them to jobs.
• Billing and Job Documentation: Assisting with invoicing and ensuring service forms are completed accurately.
• Customer Service: Handling customer inquiries, concerns, and complaints professionally.

Skills and Qualifications:

• Experience: Previous experience in HVAC dispatching or a related field (e.g., customer service, administration) is preferred but not required.
• Communication: Excellent verbal and written communication skills to interact effectively with technicians, customers, and other staff.
• Organization and Time Management: Ability to manage multiple tasks, prioritize effectively, and work in a fast-paced environment.
• Problem-Solving: Ability to assess situations and find effective solutions.
• Technical Skills: Proficiency in using dispatching software, scheduling tools, and relevant computer programs (e.g., Microsoft Office).
• Customer Service: A strong customer-focused approach and the ability to handle various customer interactions.
• HVAC Knowledge: Familiarity with HVAC/R terminology and services (can be a plus, but a willingness to learn is also valuable).
• Attention to Detail: Accurate record-keeping and data entry are crucial.
